Job Overview:

The Fleet & Facilities Manager is responsible for the strategic direction and day-to-day performance of Rex Moore's vehicle fleet and all company facilities, including offices, warehouses, and field storage yards. This role owns fleet lifecycle strategy, compliance, cost management, facility operations, and capital planning across the organization.

The Fleet & Facilities Manager leads a team of direct reports — Fleet Manager, Fleet Coordinator, and Facilities Technician — and is accountable for ensuring the fleet and facilities functions operate with high reliability and efficiency in support of Rex Moore's field operations. This role is for an experienced operational leader who builds systems, holds teams accountable, and thrives in a fast-paced construction environment where uptime and compliance are non-negotiable.

Key Responsibilities and Essential Tasks

Fleet Management

- Own fleet strategy, policy, and lifecycle decisions — acquisition, upfitting, disposition, and capital planning for vehicles including service trucks, utility vans, flatbeds, and specialty equipment.

- Direct the Fleet Manager, who handles day-to-day operations including vehicle assignments, preparing vehicles for driver pickup, repair coordination, and ongoing driver support; hold that role accountable to uptime, compliance, and service level standards.

- Direct the Fleet Coordinator, who manages registration, DMV filings, documentation, and telematics data accuracy; ensure 100% registration compliance across the fleet at all times.

- Set standards and review performance for the preventive maintenance program; use fleet data and cost reporting to drive continuous improvement and minimize total cost of ownership.

- Evaluate and recommend fleet composition changes as the company grows; lead vehicle financing, leasing, and ownership decisions with full financial analysis.

- Manage strategic vendor relationships for dealers, upfitters, and fleet service partners; negotiate contracts and hold vendors accountable to pricing and turnaround commitments.

- Coordinate with the insurance carrier on fleet coverage, claims oversight, and incident policy; ensure MVR monitoring programs are maintained.

- Administer the fuel program at a policy and cost level; review consumption trends and identify savings opportunities.

Facilities Management

- Own facilities strategy and capital planning for all company locations — offices, warehouses, field storage yards, and satellite facilities — including lease administration, renewals, and buildout projects.

- Direct the Facilities Technician, who handles hands-on building repairs and day-to-day vendor coordination; set work priorities, review quality, and ensure timely resolution of facility issues.

- Develop and manage the annual facilities budget; track spend against budget and report variances to leadership.

- Negotiate and manage vendor contracts for janitorial, landscaping, security, HVAC, and other recurring services; hold vendors accountable to performance and pricing terms.

- Ensure all facilities maintain full compliance with OSHA, fire code, and local regulatory requirements; maintain inspection records and drive corrective action.

- Lead space planning for office and warehouse needs; manage moves, reconfigurations, and tenant improvement projects from scope through completion.

- Maintain company-owned tools, equipment, and shop asset inventory; build tracking and accountability systems in coordination with Operations.

- Coordinate with IT on facilities-based infrastructure needs — access control, security cameras, and structured cabling.

Leadership & Administration

- Directly supervise and develop three direct reports — Fleet Manager, Fleet Coordinator, and Facilities Technician — setting clear expectations, conducting regular performance reviews, and building a high-accountability team.

- Establish and maintain SOPs for all fleet and facilities processes; build systems that scale with company growth.

- Produce monthly KPI dashboards covering fleet utilization, maintenance costs, compliance status, and facilities spend; present findings and recommendations to leadership.

- Identify and drive continuous improvement opportunities to reduce cost, improve uptime, and enhance the experience for field crews.

- Serve as the primary point of contact for all fleet and facilities issues across project managers, field leadership, and corporate staff.
