This role operates in a fast-paced customer service environment and requires a friendly, detail-oriented professional who can quickly learn new products and processes, take direction, and independently manage day-to-day workload. Prior manufacturing experience is not required, as product knowledge and technical resources will be provided.
Responsibilities
- Process incoming purchase orders and accurately enter customer orders into the Epicor system.
- Review purchase orders for accuracy, including pricing, quantities, product information, and other order details before entry.
- Receive customer purchase orders, verify information for accuracy, double-check pricing, and ensure data is entered correctly.
- Respond to customer, distributor, and sales representative inquiries via email and phone regarding orders, pricing, shipping, products, and general questions.
- Provide pricing information using established price lists for stock, made-to-order, and custom products.
- Communicate with customers about order status, product questions, shipping details, and other order-related needs.
- Work closely with sales representatives and internal departments, particularly shipping, production, quality, and accounting, to keep orders moving and ensure customer needs are addressed.
- Assist with returns, exchanges, credits, shipping concerns, and customer complaints by following established procedures and obtaining appropriate approvals.
- Escalate pricing discrepancies, shipping issues, returns, credits, customer complaints, and production or lead-time concerns to the Customer Success Manager when appropriate.
- Maintain customer and territory-specific documentation related to shipping, data entry, and billing requirements.
- Support domestic business across multiple territories rather than managing a dedicated book of individual customer accounts.
- Collaborate with the Customer Success Manager on more complex issues or decisions that should not be handled independently.
Essential Skills
- High school diploma or GED.
- At least 2 years of customer service experience in an office or professional environment.
- At least 2 years of proficiency with Microsoft Office, including Excel.
- Strong attention to detail and accuracy in order entry and data entry.
- Ability to work effectively in a fast-paced customer service environment.
- Comfort with learning new products, systems, and processes quickly.
- Strong verbal and written communication skills for interacting with customers, distributors, and sales representatives.
- Ability to follow established procedures and escalate issues appropriately.
- Capability to manage day-to-day workload independently while taking direction as needed.
- Experience with order entry, data entry, customer service, and order processing.
Additional Skills & Qualifications
- Previous experience working in Epicor is highly preferred.
- Customer service or order-processing experience within a manufacturing environment.
- Experience supporting sales representatives, distributors, or territory-based customers.
- Comfort collaborating with cross-functional teams such as shipping, production, quality, sales, and accounting.
- Ability to maintain organized documentation related to shipping, billing, and territory requirements.
