Executive Assistant — SVP, Resiliency Operations

About the job

At F5, we strive to bring a better digital world to life. Our teams empower organizations across the globe to create, secure, and run applications that enhance how we experience our evolving digital world. We are passionate about cybersecurity, from protecting consumers from fraud to enabling companies to focus on innovation.

Everything we do centers around people. That means we obsess over how to make the lives of our customers, and their customers, better. And it means we prioritize a diverse F5 community where everyone can thrive.

Ready for an exhilarating challenge? We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to provide comprehensive support to our SVP, Resiliency Operations. The ideal candidate will act as a strategic partner, anticipating needs, managing complex schedules, and ensuring the seamless execution of daily operations.

Resiliency Operations keeps F5 and our customers running. That means the rhythm of this role is unlike a standard executive support position: alongside the regular operating cadence, you will support a leader whose calendar can be reshaped in minutes by a live incident, and you will be the person who makes that pivot look effortless.

This role carries a second remit. You will also support Office of the Chief Technical Operations Officer (OCTO) customer programs — executive briefings, customer advisory boards, operational and service reviews, and industry events — partnering with OCTO leaders and the field to deliver customer-facing experiences that reflect the quality F5 is known for.

In this role, you will go beyond traditional administrative duties by leveraging modern productivity tools and AI technologies to streamline workflows, optimize travel planning, and track critical projects. You will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the executive's office.

Key Responsibilities

Strategic Calendar Management: Proactively manage a highly complex calendar, resolve scheduling conflicts, and prioritize time to align with the SVP's strategic objectives. Defend focus time for deep work, build preparation and travel buffers around high-stakes commitments, and coordinate across the executive assistant community to align multi-principal meetings and leadership forums.

Incident & Escalation Support: Re-sequence the SVP's day at short notice during major incidents and escalations — clearing and rescheduling commitments, notifying affected stakeholders, and standing up bridge and war-room logistics so the leader can focus entirely on the event. Schedule post-incident reviews and track resulting action items to closure.

Resiliency Governance & Reporting Cadence: Coordinate the calendar of resiliency governance forums, business continuity and disaster recovery exercises, audit and regulatory reporting checkpoints, and risk review meetings. Ensure inputs are collected from owners and materials are ready ahead of each forum.

OCTO Customer Programs & Events: Partner with Office of the Chief Technical Operations Officer (OCTO) leaders, Marketing, and the field to plan and execute customer-facing programs — executive briefings, customer advisory boards, operational and service reviews, workshops, and industry events. Own the logistics end to end: invitations and attendee tracking, venue and briefing-center coordination, agendas and run-of-show, speaker and presenter preparation, catering and hospitality, materials, and post-event follow-up. Support occasional on-site event execution.

Travel Planning & Logistics: Coordinate end-to-end domestic and international travel arrangements, including itineraries, visas, and accommodations. Leverage AI and modern travel platforms to optimize routes and anticipate changes. Prepare trip agendas and briefing packets aligned to the purpose of each trip, with contingency options for disruption.

Manage Expenses: Document and submit business expenses as per Company policy. Support the executive's office and customer programs with purchase orders, invoice processing, vendor onboarding, event spend tracking, and software and equipment requests in partnership with Procurement and Finance.

Meeting Coordination & Operating Cadence: Organize leadership meetings, off-sites, and events, including staff meetings, business and quarterly reviews, all-hands, and planning cycles. Prepare agendas, distribute pre-reads so attendees arrive ready to decide, take detailed minutes, and track follow-up action items to closure with named owners and due dates.

Executive Communications & Correspondence: Serve as the first point of contact for the executive's office — triaging inbound requests, routing to the right owner, and responding on the SVP's behalf where appropriate. Draft, edit, and proofread correspondence and internal communications in the executive's voice, and manage inbox flow so what needs attention surfaces and what doesn't gets cleared.

Document & Presentation Preparation: Prepare, format, and quality-check briefing materials, presentations, and decision packages for leadership meetings at all levels, up to and including the Board of Directors, as well as customer-ready materials for OCTO programs. Consolidate inputs from multiple contributors into a single polished deliverable against deadline, and maintain organized, version-controlled document repositories.

Project Tracking & Execution: Assist in tracking high-priority projects and initiatives. Act as a liaison between the executive and various departments to ensure deadlines are met and deliverables are on track.

Workflow Automation: Identify opportunities to integrate AI tools and software applications to enhance office efficiency, automate routine tasks, and improve overall executive productivity. Standardize and document recurring processes, and retire low-value work.

Stakeholder & Relationship Management: Build and maintain relationships with internal leaders, fellow executive assistants, board members, customers, and external partners on behalf of the executive's office. Host and coordinate executive and customer visitors, including agendas, logistics, and hospitality, representing F5 with professionalism and discretion.

Team Operations: Support onboarding and offboarding logistics for the leadership team, including equipment, access, and workspace coordination. Coordinate team events and recognition activities, and maintain organizational charts, distribution lists, and team rosters.

Information Management: Maintain absolute confidentiality while handling sensitive corporate information and business documents, including incident and outage details, customer information, organizational changes, personnel matters, financials, and security information. Apply sound judgment about what is shared, with whom, and when, and follow records management and information security policy without exception.
