The Role:
We are looking for an Administrative Officer to join our Coroners Service, providing high-quality administrative and financial support to coroners, managers and the wider team.
This is a varied role at the heart of the service. You will help ensure that our records, systems, finances and day-to-day administrative processes are accurate, well organised and responsive. You will need to be comfortable managing competing priorities, working with sensitive information and providing a professional service to colleagues, suppliers, partner organisations and members of the public.
What you’ll do:
- Arrange meetings and appointments, preparing papers and taking accurate minutes when required;
- Deal with routine correspondence and enquiries and directing more complex matters to the appropriate person;
- Check supplier charges, recording costs and supporting accurate and timely financial administration;
- Maintain staff information, annual rosters and induction materials;
- Check and maintaining service data and contributing to monthly statistics and reports;
- Maintain equipment and facilities records and following up issues with Facilities Management;
- Manage physical and electronic case records, including filing and archiving concluded inquest cases; and
- Maintain appropriate health and safety records and supporting compliance with service procedures.
What we’re looking for:
You’ll need to be an organised and dependable administrator with good attention to detail and the confidence to manage a varied workload.
You will have experience of working in a busy office or customer-service environment and maintaining accurate records. Good communication and numeracy skills are important, together with confidence using Microsoft Word, Excel and Outlook and electronic information-management systems.
Because of the nature of the Coroners Service, you must also be able to handle confidential, sensitive and sometimes distressing information with discretion and appropriate professional boundaries.
Experience in a coronial, legal, bereavement or other sensitive public-service environment would be helpful, as would knowledge of records management, retention and archiving, but these are desirable rather than essential requirements.
Why this role matters:
The Coroners Service deals with matters that can be complex and sensitive. Behind the service is a significant amount of administration that needs to be handled accurately, promptly and professionally.
As an Administrative Officer, you will play an important part in keeping those processes running effectively and supporting colleagues to deliver a responsive service.
The role involves regular computer-based work, some movement of files and equipment, and occasional contact with people who may be distressed or frustrated. You may also need to travel to other locations within Hampshire.
If you are a confident administrator who enjoys varied work, takes pride in accuracy and wants to contribute to an important public service, we would welcome your application.
