This role is part of our Graphic Communications business unit, which serves the global print and packaging industry with ERP and production software designed for commercial printers, packaging manufacturers, promotional and transactional print providers, sign and display manufacturers, and in-plant print operations. Our solutions help customers manage complex production environments, improve operational visibility, and deliver high-quality products efficiently and profitably.

CAI India is a strategic investment in the company's future. Our Bangalore Center of Excellence is a place of ownership, expertise, and accountability. Teams in India work on global products end to end, contribute to key decisions, and influence how CAI evolves as a business. This is not a support-led model, but rather a center designed to lead through knowledge, responsibility, and trust.

About the Role

CAI Software is seeking a Project Coordinator – Professional Services PMO to join our Graphic Communications Professional Services team in Bangalore, India. Partnering closely with the PMO and regional leaders, you will manage the operational side of project delivery in NetSuite — creating opportunities for incremental services, assigning resources, and coordinating consultants across multiple workstreams, including work that falls outside a traditional project structure. You will play a key role in keeping project data, resourcing, and consultant activity accurate and aligned with PMO standards.

What You'll Do

- Create and maintain NetSuite opportunities for incremental services (change requests, add-on work, extensions) in partnership with Project Managers and Sales/Account teams

- Assign and update consultant resources on projects and tasks in NetSuite, ensuring allocations reflect actual and planned work

- Coordinate consultant schedules and priorities across multiple workstreams, including non-project work such as support-type engagements, ad hoc requests, and internal initiatives

- Monitor utilization and availability, and flag over- or under-allocation to the PMO and Project Managers

- Maintain data integrity in NetSuite across project setup, task assignments, and time and forecast alignment

- Support Project Managers with administrative tasks including kickoff logistics, status tracking, documentation, and follow-ups

- Provide inputs for forecast, utilization, and resource reporting

- Follow PMO methodology, templates, and process guidelines, and proactively suggest improvements

What We're Looking For

- 2+ years of experience in project coordination, resource management, or professional services operations

- Working knowledge of NetSuite or a similar PSA/ERP tool (preferred)

- Strong organization, communication, and prioritization skills

- Comfortable working with consultants, Project Managers, and sales stakeholders

- Detail-oriented, with sound judgment on when to escalate
