About this role
We are seeking an assertive, client-focused Case Manager to support our Employment Law practice. The ideal candidate owns the client relationship end-to-end and drives matters forward from intake through resolution—managing clients, following up with employers, and maintaining strict compliance with case deadlines.
Key Responsibilities:
- Intake & Onboarding: Screen incoming leads for case viability (timeline, employer size, damages), gather employment records (pay stubs, offer letters, handbooks, communications), and track retainer agreements.
- Employer & Counsel Liaison: Serve as the main point of contact for employers and opposing counsel to request personnel files and payroll records, track responses, and escalate non-compliance to the lead attorney.
- Client Relationship Management: Maintain clear, empathetic, and steady communication with clients navigating high-stress emotional and financial situations across a multi-month case cycle.
- Deadline & Calendar Ownership: Manage critical administrative and statutory deadlines, including CRD/EEOC charges, right-to-sue letters, LWDA PAGA notices, statutes of limitations, and arbitration schedules.
- Arbitration & Administrative Hearings: Coordinate JAMS/AAA filings, fee payments, and scheduling. Book CRD/EEOC mediations and Labor Commissioner wage claim hearings.
- Discovery & Trial Prep Support: Track discovery deadlines, organize document productions, prepare initial template drafts for attorney review, schedule depositions, and build comprehensive mediation packets.
- Damages & Records Coordination: Collect mitigation records (EDD benefits, job search logs, new employment verification), obtain medical/therapist records for emotional distress claims, and coordinate with expert witnesses and parallel Workers' Comp counsel.
- Post-Settlement Administration: Oversee execution of releases, track settlement funds, handle wage vs. non-wage allocation, and complete formal file closing procedures.
- Case Tracking: Maintain updated case statuses, calendar entries, and cost logs in [Software] .
Requirements
2+ Years of Employment Law Case Management: Direct, hands-on experience in employment law case management. (General employment paralegal experience without case ownership does not qualify).
Employer Communication Experience: Proven track record conducting employer/HR records requests, asserting follow-ups, and coordinating with opposing counsel.
End-to-End Client Ownership: Outstanding phone presence with a calm, professional, and empathetic approach to managing clients during stressful legal matters.
Statutory Deadline Tracking: Demonstrated experience tracking administrative deadlines, right-to-sue letters, and statutes of limitations.
Strong Written & Verbal English: Excellent written communication for drafting formal requests, professional email updates, and attorney briefings.
