- Serve as a primary point of contact for employees and managers regarding FMLA, ADA, STD/LTD, medical leave, parental leave, and other leave programs.
- Manage a high volume of leave cases from intake through return to work, ensuring timely follow-up and accurate documentation.
- Monitor and oversee cases handled by third-party leave and disability vendors, ensuring they move forward appropriately and in compliance with policies and regulations.
- Facilitate clear, timely, and empathetic communication with employees and managers throughout the leave lifecycle, including eligibility, status updates, and return-to-work expectations.
- Partner closely with HR, Benefits, Payroll, HR Business Partners, and external administrators to resolve issues, clarify leave details, and coordinate related processes.
- Apply internal leave policies, federal requirements, and state-specific regulations to individual cases, escalating complex issues when needed.
- Support the Benefits team during the transition from PeopleSoft to Workday, including learning and using new HRIS and leave-management processes.
- Maintain strict confidentiality of employee information and ensure accurate recordkeeping in HRIS and leave-management systems.
- Prioritize and manage multiple active cases and competing deadlines while providing consistent daily coverage and support.
- Identify and address case issues or delays, proactively following up with vendors, employees, and internal stakeholders to keep cases on track.
- Contribute to a positive, employee-focused experience by providing strong customer service and problem-solving support to employees on leave.

Essential Skills

- Approximately 2 to 3 years of hands-on Leave of Absence administration, employee benefits, HR operations, or a closely related area.
- Direct experience with FMLA, ADA, short-term disability (STD), long-term disability (LTD), medical leave, and parental leave programs.
- Experience administering leave for a multi-state employee population and working with state-specific leave regulations.
- Proven background managing high-volume leave cases from initiation through return to work.
- Experience partnering with and overseeing third-party leave and disability vendors.
- Ability to understand, interpret, and apply internal leave policies, federal regulations, and state-specific requirements.
- Strong organizational skills with the ability to manage multiple active cases and competing priorities simultaneously.
- Excellent written and verbal communication skills, with the ability to explain complex leave concepts clearly and professionally.
- Employee-focused mindset with strong customer service and problem-solving abilities.
- Ability to work independently while collaborating effectively with employees, managers, HR, Payroll, Benefits, and external partners.
- Strong attention to detail, follow-through, and commitment to maintaining confidentiality.
- Proficiency with HRIS platforms, Microsoft Office, and leave-management systems.
- Ability to step into the role with an existing foundation in leave administration and quickly learn organization-specific policies and processes.
