Job Title: Customer Service & Inside Sales Coordinator Job Description
This role serves as a polished, technology-savvy Customer Service & Inside Sales Coordinator who acts as one of the first points of contact for customers at a growing specialty construction organization. The position combines customer service, inside sales support, CRM administration, and front-office coordination. You will go beyond simply answering and transferring calls by gathering detailed information from prospective and existing customers, understanding their needs, accurately documenting opportunities, and routing them to the appropriate team members. This is an excellent opportunity for someone who enjoys customer interaction and is seeking a role with clear potential to grow beyond traditional customer service into areas such as sales, permitting, operations, or leadership.
Responsibilities
- Serve as an initial point of contact for incoming customers and prospective clients, providing a professional and welcoming experience.
- Answer incoming calls and emails promptly and professionally, and accurately assess customer needs.
- Ask appropriate and thoughtful questions to qualify customer inquiries and determine the best next steps.
- Enter, update, and maintain customer and lead information within the NetSuite CRM system with a high level of accuracy.
- Distribute qualified leads and inquiries to the appropriate inside or outside sales team members in a timely manner.
- Follow up with customers and internal team members as needed to ensure inquiries and opportunities move forward smoothly.
- Send welcome communications and other relevant documentation to new customers to support a positive onboarding experience.
- Provide ongoing customer support throughout the early stages of the sales and project process, ensuring customers feel informed and supported.
- Assist inside sales representatives with administrative tasks and customer-related needs to help streamline the sales process.
- Support front-desk activities and general office operations, contributing to an organized and efficient office environment.
- Take ownership of miscellaneous projects and operational needs as they arise, demonstrating flexibility and initiative.
- Deliver a professional, responsive, and service-oriented customer experience in every interaction.
Essential Skills
- Previous experience in customer service, inside sales support, sales coordination, account support, lead qualification, or a similar customer-facing role.
- Excellent verbal and written communication skills, with the ability to communicate clearly and professionally.
- Comfort speaking with customers, gathering detailed information, and asking qualifying questions to understand their needs.
- Strong computer and technology skills, with the ability to learn and use new systems efficiently.
- CRM experience, preferably with NetSuite, and familiarity with managing customer and lead data.
- Strong interpersonal and people skills, with the ability to build rapport and maintain positive relationships.
- Ability to stay organized while managing calls, emails, follow-ups, and administrative responsibilities simultaneously.
- Professional, resourceful approach with sound judgment when determining how and where to route customer inquiries.
- Comfort working in a fast-moving, onsite environment where priorities may shift quickly.
Additional Skills & Qualifications
- Experience with NetSuite or a similar CRM/ERP platform is a plus.
- Background in customer support, inside sales, inbound calls, or related roles in a professional setting.
- Strong communication and interpersonal skills that support effective collaboration with sales and operations teams.
- Interest in growing into areas such as inside sales, outside sales, permitting, customer operations, or team leadership.
- Demonstrated ability to take ownership of projects and operational tasks beyond core customer service duties.
Work Environment
You will work onsite in an approximately 20-person office, with an additional team of about 30 colleagues working in the field. The organization operates in a niche construction market focused on recreational facilities such as tennis, pickleball, and basketball courts. The environment is fast-moving and collaborative, with a promote-from-within philosophy that supports career growth into sales, operations, and leadership roles. You will use technology tools including CRM/ERP platforms such as NetSuite to manage customer and lead information. Upon conversion to permanent employment, benefits include a 401(k) plan and company-paid employee-only health coverage. The office setting is professional and customer-facing, with expectations of a polished, business-appropriate appearance in alignment with front-office and client interaction responsibilities.
