Job Title: Mailroom Coordinator 2 Job Description
The Mailroom Coordinator 2 oversees all aspects of mail and package services within the facility, ensuring that incoming and outgoing mail is processed accurately, efficiently, and on time. This role combines hands-on mailroom operations with administrative and facilities support, requiring strong organization, attention to detail, and professional communication skills. The position is fully onsite, Monday through Friday, and plays a key role in supporting employees, vendors, and overall site operations.
Responsibilities
- Sort, date-stamp, and deliver incoming mail from various sources, including carriers such as UPS and internal guard posts.
- Manage package deliveries from multiple carriers, including FedEx, UPS, USPS, DHL, and Amazon, ensuring all items are accurately logged in manifest and tracking systems.
- Process outgoing packages for UPS, USPS, and FedEx shipments, following proper documentation and shipping procedures.
- Assist employees with mail and shipping requests, providing clear guidance and customer-focused support.
- Manage tickets and requests in internal systems, ensuring timely updates and resolution of mailroom and facilities-related issues.
- Deliver shipments and packages to their final destination within the facility, maintaining accuracy and accountability.
- Administer shipper user accounts, including setup, updates, and access management for shipping systems.
- Assist with shipping documentation and collection, ensuring all required forms and records are complete and properly filed.
- Maintain and audit mailroom and related spaces to ensure they are organized, secure, and compliant with facility standards.
- Provide backup key access services as required, following established security and access control procedures.
- Escort vendors within the facility when needed, ensuring adherence to site policies and procedures.
- Provide back-up facilities support, assisting with general office and building services as directed.
- Manage customer work orders within a work order system, tracking progress and ensuring completion according to service standards.
- Perform repetitive physical activities such as bending, crouching, kneeling, reaching, twisting, sitting, standing, and walking throughout the workday.
- Climb ladders up to 30 feet and walk the facility regularly to complete mail, package, and facilities-related tasks.
- Lift parts, tools, and packages averaging 20 pounds and occasionally up to 49 pounds, using proper safety techniques.
- Operate with dexterity in eye/hand coordination and manual tasks, including picking, pinching, holding, grasping, and repetitive wrist motion.
Essential Skills
- At least two years of experience in corporate mailroom operations, handling both mail and packages in a professional environment.
- Hands-on experience with UPS, Federal Express (FedEx), and other courier services for incoming and outgoing shipments.
- Proficiency in Microsoft Excel and Word, with confident use of internet-based tools and systems.
- Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks in a fast-paced setting.
- High attention to detail to ensure accurate package logging, mail sorting, and documentation.
- Physical ability to lift packages and materials and walk throughout the facility for extended periods.
- Basic computer skills for email communication, data entry, and manifest logging in shipping or tracking systems.
- Professional communication skills for interacting with employees, vendors, and service providers in person and via email.
- Experience with mailroom activities such as sorting, clerical tasks, data entry, filing, and scanning.
- Customer service mindset, with the ability to respond promptly and courteously to internal requests.
- Working knowledge of Microsoft Office applications used in daily mailroom and administrative operations.
Additional Skills & Qualifications
- Previous experience in mail services or logistics coordination, supporting complex shipping and receiving operations.
- Familiarity with package tracking systems and a range of courier services beyond the major carriers.
- Experience with office support services and administrative tasks, including documentation, filing, and general office operations.
- Knowledge of office equipment maintenance and supply management, ensuring mailroom and office areas are well stocked and functioning.
- Ability to work accurately in environments that require consistent data entry and record-keeping.
- Comfort working in a role that supports facilities operations in addition to mailroom duties.
Work Environment
This role is fully onsite, Monday through Friday, from 8:30 a.m. to 5:00 p.m., with a 30-minute lunch break. The position is based in a corporate facility mailroom and involves continuous movement throughout the building to deliver mail and packages and provide facilities support. The work environment includes small spaces, exposure to dust, fumes, odors, and varying temperatures both inside and outside. You may experience noise, vibration, and long periods of standing on concrete floors, as well as working on wet or uneven surfaces. The role requires frequent bending, crouching, kneeling, reaching, twisting, and walking, as well as climbing ladders up to 30 feet. You will regularly handle packages, parts, and tools weighing around 20 pounds and occasionally up to 49 pounds. Work is performed using standard office and mailroom equipment, including computers with Microsoft Office, scanners, and tracking or manifest systems. Attire should be appropriate for an active, hands-on corporate mailroom and facilities setting, with practical footwear suitable for extended standing, walking, and ladder use.

Pay and Benefits
The pay range for this position is $26.00 - $26.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
