What This Role Is

Every family in Gujarat sending a child to study in Europe eventually hits the same narrow, unforgiving gate: the visa. A single missing document, a missed embassy slot, an incomplete file can turn a year of planning and a hard-won university offer into a lost admission cycle. For the student and the family on the other end, this stage isn't paperwork — it's the last and most stressful mile of a decision they've already committed to.
This matters because EduGo Abroad's promise doesn't end at an offer letter. Getting a student admitted and getting a student on a plane are two different jobs, and the second one has no tolerance for shortcuts. A visa function that runs cleanly is the difference between a family that trusts EduGo Abroad with the next sibling too, and one that doesn't.
This role sits inside EduGo Abroad's Admissions Operations team in Ahmedabad, and exists to make sure every visa file that leaves this office is complete, accurate, and on time — for every partner and student relying on it.
At the highest level, you own the accuracy and timeliness of the visa application process for the students and partners assigned to you.

What You Own

Visa documentation and filing

- Prepare, review, and file student visa applications for the countries in your scope

- Ensure every document in a file is accurate, complete, and meets the specific requirements of the destination country and university

- Maintain up-to-date knowledge of visa rules and embassy guidelines as they change

Embassy and appointment coordination

- Schedule visa appointments and biometric submissions

- Coordinate directly with embassies, VFS centers, and students to keep applications moving

- Track the status of every application in your pipeline and follow up before a delay becomes a problem

Student and partner support

- Guide partners and students on visa requirements and procedures for their destination country

- Prepare students for visa interviews where applicable, so they walk in ready rather than anxious

- Handle visa rejections and reapplications with the same care as a first-time file, not as an afterthought

Confidentiality and process integrity

- Maintain strict confidentiality of student documents at every stage

- Flag process gaps or recurring errors to your manager rather than quietly working around them

What Success Looks Like

- In the first weeks, success looks like a solid grasp of the current visa process end to end — where files typically stall, which embassy requirements trip people up, and where you can start adding value immediately rather than just learning the ropes.

- By the middle of your first year, your files should be running cleaner and faster than when you started — fewer errors, fewer avoidable delays, and partners and students who trust that once a file is in your hands, it's in good hands.

- Over the long run, you will have become someone this team relies on to handle the hardest or most sensitive cases — the rejections, the tight deadlines, the complicated files — without anyone needing to double-check your work.

- The specifics will be calibrated once you're in the role. The direction won't change.

What You Bring

- You bring real familiarity with student visa applications for international destinations, ideally in a study-abroad or admissions context — you understand that a visa file isn't just paperwork, it's a case that needs to be built correctly the first time.

- You communicate clearly and confidently in English, whether you're explaining a requirement to an anxious student, following up with an embassy, or writing up a case note for your manager.

- You have a genuine grasp of how admissions and visa requirements differ across universities and countries, and you don't lose track of the details even when you're juggling multiple files with different rules at once.

- You're precise under deadline pressure. When something's off in a document, you catch it before it becomes a rejection — not after.

- You're coachable and comfortable both working independently on your own caseload and pulling in support from your team when a case gets complicated.

- Most importantly, you read the description of what this function is responsible for and your first reaction was not "this sounds like a lot of forms." It was something closer to — I know how much rides on getting this right for a family, and I take that seriously. That's the person this role is for.
