Project Coordinator – Foodservice Design & Construction
Location: Proximity to Melville, NY (100% In-Office)
Schedule: Monday – Friday | 9:00 AM – 5:00 PM

Salary Range: $65,000 – $80,000 / year (commensurate with experience)

We are recruiting on behalf of an industry-leading foodservice design, build, and consulting firm in Farmingdale, NY. Specializing in high-end corporate cafes, hospitality venues, commercial kitchens, and custom dining facilities, they deliver creative, state-of-the-art interior experiences for major clients nationwide.
Position Summary
The Project Coordinator plays a vital role within dedicated, cross-functional project teams. This multi-faceted role provides administrative, estimating, purchasing, billing, and logistical coordination from initial design through final construction and installation.
You will work closely with internal designers, Project Managers, and executive leadership, while serving as a key liaison to external clients, architects, engineers, factories, and equipment installers.
Key Responsibilities
Design & Pre-Construction Support: Coordinate project budgets, client proposals, and equipment specification packages during the initial design phases.
Procurement & Order Tracking: Manage the purchasing process for specialized equipment and materials. Track shipments, manage factory lead times, and coordinate deliveries with on-site Project Managers.
Billing & Project Financials: Assist with project billing, cost tracking, vendor invoice verification, and change order documentation.
Cross-Functional Communication: Serve as a central point of contact connecting designers, sales leaders, clients, architects, and field trades.
Project Administration: Maintain comprehensive project files, track milestone schedules, and ensure all deliverables meet strict client deadlines.
Qualifications & Requirements
Experience: 2–4+ years of project coordination, administrative, or purchasing experience, preferably within commercial construction, interior architecture, hospitality, or foodservice equipment .
Software Skills: High proficiency in Microsoft Office (Excel, Outlook, Word). Experience with AutoQuotes (AQ) or construction estimating software is a major plus, but not required.
Organizational Mastery: Exceptional multitasking skills with the ability to manage competing priorities and tight deadlines across multiple active projects.
Detail-Oriented & Proactive: Strong analytical skills with a focus on data accuracy in budgets, specs, and vendor orders.
Team-Oriented Mindset: Excellent communication skills, a positive attitude, and a collaborative approach to problem-solving in a fast-paced environment.
Compensation / Pay Rate (Up to): $65,000.00 - $80,000.00
