Maxby Hospitality is currently hiring a full-time Payroll & Benefits Specialist to join our team! The ideal candidate will have a can-do attitude, a warm and welcoming demeanor, and a strong focus on internal customer service. The Payroll & Benefits Specialist is responsible for administering and maintaining payroll records and employee benefits for assigned operating units with a focus on compliance and employee support. You will provide essential information and critical feedback directly to restaurant managers, multi-unit supervisors and corporate staff.
Payroll & Benefits Specialist Responsibilities :
- Adhere to the highest standards of business conduct and compliance by acting lawfully, ethically, honestly, and professionally in the performance of job functions at all times.
- Maintain compliance with Company policy and procedures as it relates to all job functions.
- Adhere to strict deadlines.
- Maintain employee confidence & protect payroll and benefits operations by keeping information confidential.
- Work closely with restaurant management and HR to ensure accuracy of payroll and benefits data: new hires, terminations, transfers, benefit eligibility, qualifying events, open enrollments, ACA and other job information changes.
- Administer medical, dental, visions & life insurance programs, COBRA, retirement plans, HSA accounts, and voluntary benefits.
- Assist plan participants with benefit questions, paperwork, and claims.
- Manage open enrollment, process enrollment forms, and update benefit records.
- Reconcile monthly insurance premiums and benefit invoices.
- Ensure compliance with benefits regulations (ACA, FMLA, etc.).
- Interact with restaurant managers and employees to identify and resolve issues.
- Communicate problems, issues, and questions that arise and may affect the operation of a restaurant or indicate a recurring or escalating problem.
- Process child support orders, wage garnishments and tax levies for employees.
- Prepare and process payroll for employees at assigned locations: review and reconcile.
- Review system reports for unusual clock outs and under-reported tips.
- Respond to agency/employment verification requests.
- Answer employee payroll questions, ensuring employees clearly understand payroll subjects and the necessity to comply with all local, state and federal payroll regulations.
- Prepare assigned sales/use tax returns monthly, making sure they are filed by the due date.
- Assist with all payroll record keeping and storage (including filing).
Payroll & Benefits Specialist Qualifications:
- High School Diploma or GED and 2-5 years of payroll and benefits experience.
- Familiarity with payroll processes beginning to end.
- Working knowledge of payroll systems.
- Comfortable with Excel (functions, data, etc.) and other Microsoft Office applications.
- An analytical mind with good math skills.
- Strong verbal and written communication skills.
- Excellent attention to detail with a concern for quality.
- Ability to handle sensitive and confidential information with discretion and maturity.
- Willingness to work overtime when workload warrants.
- Proactive mindset, creative problem-solving skills, always looking for greater efficiency.
- ERP Systems experience preferred – exposure to NetSuite, Paycom, Ctuit, Plate IQ or similar systems.
- Ability to work with minimal direction, dedicated to providing high quality work.
- Ability to change priorities as needed, to accomplish all tasks despite frequent interruptions.

Payroll & Benefits Specialist Work Conditions:
- Environment – Work is performed in-person at our office in Bloomington, Illinois
- Physical Demands – Intermittent sitting, standing, walking, reaching, occasional lifting and use of hands/fingers
- Mental Demands – Using standard mental and visual attention continuously, with occasional periods of continuous alertness and concentration.
- Talk/Hearing – Must be able to receive and send information through oral communication. The noise level in the office environment is occasionally quiet and frequently moderate.
