About this role

One Management Analyst to provide professional staffing support services to the U.S. State Department, GPA Bureau’s Office of Press Relations. The purpose of this task order is to provide the services of an Executive Assistant who reports directly to the Director and Deputy Director for the Office of Press Relations, to fulfill the following requirements.

Job Duties:

- Serves as the Press Office liaison to the GPA Executive Office.
- Manages administrative operations of the Press Office, to include: arranging meetings and scheduling appointments for the Director and Deputies; onboarding new staff, working with IT and GSO staff on space and technical requirements
- Submitting purchase requests for supplies and services, including news subscriptions, through Ariba;
- Maintaining office inventory records
- Managing the Office’s Time and Attendance.

- Provides support to all office activities in support of the Spokesperson, including on-camera press briefings by the Secretary, Spokesperson and other Department officials in the Press Briefing Room.
- Coordinates with technical and audio-visual staff to ensure the briefing room is set up on time, the credentialed press corps has appropriate access and escort if needed, and visitors in attendance are seated in the briefing room and aware of protocols.

- Serves as an initial point of contact for representatives of the media with general operational questions.
- Provides factual information on public schedules and events, and transfers reporters’ policy questions to press officers for action.
- Provides technical and IT liaison support for the resident press corps, in coordination with GPA’s general services staff, and assists new and returning journalists with the press building pass application process.

- Maintains key office contact lists, to include: Department regional and functional bureau PAOs; the State Department press corps; and, on a weekly basis, holiday and weekend duty officers for the Operations Center and GPA Front Office.

- Assist with special projects as assigned.

Requirements

- Three or more years of experience providing administrative, executive, office operations, or program support in a fast-paced professional environment.
- Experience coordinating executive calendars, meetings, appointments, visitors, and office logistics.
- Experience supporting senior leaders, public affairs professionals, government officials, media representatives, or other high-visibility stakeholders.
- Demonstrated ability to coordinate meetings, briefings, events, room setups, visitor access, seating, and related protocols.
- Experience coordinating with IT, facilities, general services, audiovisual, and other internal support teams.
- Experience processing purchase requests, tracking office supplies and equipment, maintaining inventory records, and monitoring time and attendance.
- Strong proficiency with Microsoft Office applications, calendar-management tools, email, spreadsheets, and virtual meeting or audiovisual technologies.
- Ability to maintain accurate and current contact lists, schedules, records, and administrative trackers.
- Strong written and verbal communication skills, including the ability to provide factual information, respond to routine operational inquiries, and route policy-related questions appropriately.
- Has an active Secret Security clearance
