Location: San Diego, CA (Primarily On-Site) Duration: Temporary Leave Coverage with Potential for Extension or Conversion

About the Opportunity

We are seeking a highly organized and detail-oriented Recruiting Coordinator to support recruiting and onboarding operations during a critical period of growth. This role will provide leave coverage for a key HR team member while partnering closely with Recruiting, HR, and Hiring Managers to deliver a seamless candidate and new hire experience. The ideal candidate has strong experience with iCIMS onboarding , enjoys working with data and systems, and thrives in a fast-paced, high-volume hiring environment. This is an excellent opportunity to gain exposure to recruiting operations, onboarding programs, HR systems, and process improvement initiatives within a collaborative team.

Key Responsibilities

Onboarding & Candidate Experience

- Manage end-to-end onboarding workflows through the iCIMS onboarding platform.
- Monitor onboarding task completion and ensure all pre-employment requirements are completed accurately and on time.
- Coordinate new hire documentation, offer processing, and onboarding communications.
- Serve as a primary point of contact for candidates throughout the onboarding process.
- Partner with hiring managers and internal stakeholders to ensure a positive and seamless new hire experience.

Recruiting Operations

- Support recruiting activities during periods of high hiring demand.
- Maintain candidate records and workflow activity within recruiting systems.
- Coordinate interviews, offers, and onboarding milestones as needed.
- Assist Recruiting and HR teams with administrative and operational projects.

Reporting & Data Management

- Generate, analyze, and distribute onboarding and recruiting reports.
- Review large datasets to validate information, identify discrepancies, and maintain data accuracy.
- Utilize advanced Excel functions to track metrics, analyze trends, and support decision-making.
- Monitor onboarding progress and provide regular updates to leadership.

HR Systems & Process Improvement

- Support HRIS and talent acquisition system initiatives, including upcoming system implementations and upgrades.
- Assist with data migration, system testing, workflow validation, and user acceptance testing.
- Identify opportunities to improve onboarding processes, reporting capabilities, and operational efficiency.
- Troubleshoot onboarding workflow issues and help optimize system functionality.

Required Qualifications

- 2+ years of experience in Recruiting Coordination, Talent Acquisition Operations, HR Coordination, or Employee Onboarding.
- Hands-on experience with the iCIMS Onboarding Module , including: Workflow management
- Task tracking
- Reporting and analytics
- Automated communications
- Troubleshooting and user support
- Configuration and onboarding administration

- Advanced Microsoft Excel skills, including: Pivot Tables
- VLOOKUP/XLOOKUP
- Data validation and reporting

- Experience processing new hire documentation and coordinating onboarding activities.
- Strong attention to detail and ability to manage large volumes of information accurately.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications

- Experience supporting high-volume recruiting environments.
- Previous experience with ATS, HRIS, or talent management system implementations.
- Experience with data migration, process testing, and workflow optimization.
- Ability to quickly learn new systems and technologies.
- Strong problem-solving skills with a proactive, solutions-oriented mindset.
- Experience supporting organizations undergoing growth or transformation initiatives.

Job Type & Location
This is a Contract position based out of San Diego, CA.
Pay and Benefits
The pay range for this position is $27.00 - $29.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
