Job Title: Administrator Job Description
This administrative role supports the Benefits team by managing incoming and outgoing mail, organizing personnel files, and performing a variety of clerical tasks related to employee disability plans and benefits administration. The administrator ensures accurate handling, scanning, and routing of documents and inquiries, while maintaining a high level of organization, attention to detail, and professional communication.
Responsibilities
- Collect, sort, stamp, and distribute mail to the Benefits teams in a timely and accurate manner.
- Assist the Benefits team in preparing personnel files in both paper and digital formats, ensuring documents are complete and properly organized.
- Receive, scan, and process forms related to pay, benefits, tax, and work history, ensuring they are correctly labeled and filed.
- Sort documents that need to be placed in personnel files and assist with filing as required to maintain up-to-date and accurate records.
- Perform a variety of clerical duties related to the administration of employee disability plans, following established procedures and timelines.
- Review employee benefits inboxes in Outlook and respond to Canada Life inquiries, including claim discrepancies, employee schedules, and return-to-work questions, and reroute inquiries to the appropriate team when needed.
- Assist Benefits Administrators in preparing FOI/POP requests by photocopying and organizing personnel files for disclosure or review.
- Receive the daily courier package from Canada Life, then sort, scan, rename, and organize documents and cheques so the Benefits team can take appropriate action.
- Maintain accurate electronic and paper records by consistently applying naming conventions and filing standards.
- Collaborate with Benefits team members and other stakeholders to ensure efficient workflow and clear communication.
- Use virtual meeting tools and email to communicate updates, clarify information, and coordinate tasks with colleagues.
Essential Skills
- Proven skill in scanning, sorting, and organizing documents in both paper and digital formats.
- Strong organizational and time-management skills, with the ability to handle multiple tasks and deadlines.
- Proficiency with MS Office, including Outlook, Word, Excel, and PowerPoint.
- Ability to use virtual meeting tools effectively for communication and collaboration.
- Excellent written and verbal communication skills for interacting with internal teams and external partners.
- Strong attention to detail to ensure accuracy in document handling, data entry, and record maintenance.
- Experience in administration, particularly in benefits administration or onboarding, is considered essential.
- Prior experience in a transit or related organizational environment (such as TL, BCRTC, or CMBC) is highly valued for familiarity with processes and systems.
Additional Skills & Qualifications
- Previous benefits administration experience is a strong asset.
- Experience supporting onboarding processes and general administrative functions.
- Familiarity with handling FOI/POP requests and working with confidential personnel files.
- Comfort working with courier deliveries and time-sensitive documents.
- Ability to adapt to established procedures and systems within a professional office environment.
Work Environment
This is an in-office position based at a professional headquarters environment. The role follows a standard Monday to Friday schedule, typically from 8:00 a.m. to 4:00 p.m. Work is performed in a professional office setting that involves regular use of computers, MS Office applications, scanning equipment, and virtual meeting tools. The position reports into a leadership role within the Benefits function and requires frequent interaction with team members and external partners. The dress code is business casual.

This is a Contract position based out of New Westminster, BC.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
