This is a hybrid position with a mix of in-office and remote work. Work arrangements will be discussed with hiring managers per departmental guidelines.
Your Role
You have skills and interest in leadership and communication, and will have project coordination accountability for components / projects / programs of medium to large complexity and scale. You are comfortable interacting with delivery groups and other stakeholders at the individual contributor and management levels, to coordinate work, track progress, communicate status, and manage risks and issues. You have solid project management skills and an understanding of what is involved in projects that involve the acquisition, customization, configuration, validation, integration, and transition of business application or infrastructure systems. You tailor your approach to the needs, comfortable with traditional, and Agile methodologies to coordinate delivery across multiple streams.
Working in the Delivery Centre of Expertise as a Project Coordinator reporting to the Director, you are thoroughly organized and structured, analytical and detail-oriented, while taking an interest in understanding the larger picture and driven by project management activities. You are adept at understanding the needs of various stakeholders and supporting teams in the initiation and implementation of the group's strategic projects and eager to learn.
The Opportunity:
As a project coordinator working on the Content Every Day (CED) product family, you will work closely with Agile PMs, Product Owners, Scrum Masters, and the Product Director. You will ensure coordination across multiple streams, including but not limited to:
- Financial Coordination: Budget & forecasting: maintain the initiative's financial registry, updating actuals and monthly forecasts, and identifying key variances or trends.
- Operational finance: execute reconciliation and of timesheets, manage corporate approval workflows to facilitate timely invoice processing.
- Facilitate consolidation of project planning updates and status reporting cycles across Agile PMs, Product Owners, and Scrum Masters.
- Logistical Coordination: partner with Agile PMs, Scrum Masters, and POs to orchestrate execution of program-level workshops and major planning sessions (schedule alignment, agenda distribution, cross-functional participant coordination).
- Action & Issue Tracking: Document decisions, track action items, and maintain risk/issue registers across multiple streams, ensuring operational follow-up with responsible owners.
We are looking for a candidate with the following:
- Bachelor’s degree or equivalent experience and training.
- Five (5) or more years of professional experience including three (3) or more years of professional experience in project management/coordination, business administration, or project support.
- Bilingual (English/French).
- Experience with document management, Google Suite, spreadsheet, and presentation packages.
- Knowledge of / experience with budgeting, financial forecasting and scheduling.
- Knowledge of traditional, hybrid, and Agile project management methodologies including “Agile at scale” - strong asset.
- Ability to relate to people representing a range of personalities, cultures and hierarchical levels.
- Ability to handle working on simultaneous workstreams.
Nice to have:
- Experience with CBC/RC organization.
- Experience with tools (such as Jira) for tracking sprint progress.
- Experience using scheduling tools (such as MS Project or roadmap visualization software) for roadmaps and traditional milestones.
- Able to gather, organize, analyze and report on data such as project performance trends, KPIs, dashboards using tools (such as Data Studio, Power BI, Jira/Confluence dashboards).
- Holding or working toward certification in project management or agile frameworks (e.g. CAPM, PMP, SAFe Agilist, Product Owner).
