ADMINISTRATIVE ASSISTANT (OFFICE OF THE PROVOST) – Part-Time

16 hours per week (work schedule to be determined)

Responsibilities : Under the general supervision of the immediate supervisor(s): (1) Provide secretarial services, with specific instructions, using College Standard software and associated peripherals:

· produce documents from written, oral or electronically produced/transferred materials; proofread typed materials for accuracy;

· answer phones and screen calls as required and directed;

· provide a front-desk presence for the office; greet visitors; place routine calls and dispense routine information to internal and external parties;

· maintain files and records;

· schedule appointments and otherwise help to manage schedules;

· make travel arrangements;

· set up conference room, including establishing Zoom or Teams connections, for meetings;

· inventory and order office supplies;

· operate general office equipment, such as copier and desktop computers, as required;

· maintain confidentiality.

Organizational Relationships : Responsible to the immediate supervisor(s) for performance of assigned responsibilities.

Performance Standards : Performance in this position is considered satisfactory when responsibilities of the position have been carried out at a level that ensures efficient and effective support to all supported people.

Qualifications : (1) Education : (a) high school graduate (associate degree preferred); (b) any combination of training or experience which would facilitate the performance of the above responsibilities. (2) Skills, Knowledge, and Abilities : (a) proficient in College standard software including knowledge of MSWord/Excel/SharePoint/Outlook software, accurate keyboarding; (b) excellent interpersonal skills with a high degree of confidentiality required; c) ability to prioritize, multi-task and organize work; (d) good oral and written

communication skills; (e) ability to understand and follow oral or written instructions. (3) Experience : Minimum 1 year of related experience.
