About the Role

The Administrative Assistant serves as a key support partner for the Mesa Convention Center leadership team, helping ensure efficient day-to-day operations across the venue. This role provides administrative, scheduling, travel, and financial support to the Director of Administration and Finance, while also assisting the General Manager as needed. The ideal candidate is highly organized, detail-oriented, and customer-focused, with the ability to manage multiple priorities, maintain confidentiality, and build strong working relationships across all levels of the organization.

ABOUT MESA CONVENTION CENTER

Located in downtown Mesa, Arizona, Mesa Convention Center is the largest event venue in the East Valley. The venue features nearly 40,000 square feet of flexible meeting and exhibit space, 26 breakout rooms, 40,000 square feet of outdoor function space, and an outdoor amphitheater with capacity for up to 5,000 guests. From conferences and trade shows to community gatherings, festivals, and live entertainment, Mesa Convention Center provides a versatile setting for memorable events and experiences.

WHAT YOU’LL DO (KEY RESPONSIBILITIES & OUTCOMES)

Administrative and Office Support

- Manage incoming telephone calls, respond to routine requests, and connect internal and external contacts with the appropriate resources.
- Prepare, format, organize, and file correspondence and other business documents with accuracy and discretion.
- Monitor office supply needs and coordinate replenishment to support uninterrupted operations.

Scheduling Travel and Coordination

- Maintain calendars, schedule appointments, and coordinate meetings so leaders and stakeholders have clear, timely information.
- Arrange business travel and prepare expense reports in accordance with company processes and deadlines.
- Track follow-ups and changing priorities, adjusting plans as needed to keep work moving.

Finance and Leadership Support

- Assist the Director of Administration and Finance with the preparation and organization of financial statements, lease agreements, and other financial documents.
- Provide backup administrative support to the General Manager in the Executive Assistant’s absence or as business needs require.
- Complete other related responsibilities as assigned in support of venue and team priorities.

WHAT YOU BRING (QUALIFICATIONS & EXPERIENCE)

- High school diploma or equivalent required; additional administrative or secretarial training preferred.
- At least two years of administrative, secretarial, or office support experience.
- Proficiency with word-processing and spreadsheet applications, with the ability to type at least 55 words per minute.
- Clear and professional verbal and written communication skills.
- Strong organization, attention to detail, and the ability to manage confidential or sensitive information appropriately.
- Ability to remain flexible, adapt to changing priorities, and perform effectively under pressure.
- A collaborative, service-oriented approach and sound judgment when supporting leaders, colleagues, and external contacts.

WORK ENVIRONMENT & TRAVEL

- This role is based on site in Mesa, AZ
- You may be required to work a non traditional schedule including nights, weekends, and holidays
