Job Title: Administrative Assistant / Receptionist Job Description
The Administrative Assistant / Receptionist provides high-level administrative and front desk support to ensure the smooth operation of the office. This role manages information and communication flows, conducts basic research, handles information requests, and performs a variety of clerical and bookkeeping tasks. The position serves as a central point of contact for internal and external inquiries, supporting daily office functions with accuracy, professionalism, and confidentiality.
Responsibilities
- Perform general office duties, including ordering office supplies and maintaining adequate inventory levels.
- Maintain records management systems to ensure documents are organized, accessible, and up to date.
- Perform basic bookkeeping tasks as required to support office and financial operations.
- Prepare invoices, reports, memos, letters, financial statements, and other business documents with a high level of accuracy.
- File and retrieve corporate documents, records, and reports in accordance with established procedures.
- Open, sort, and distribute incoming correspondence, including physical mail, faxes, and emails, in a timely manner.
- Prepare responses to routine correspondence and inquiries, ensuring clear, professional communication.
- Act as an information and communication manager for the office by routing messages and information to the appropriate parties.
- Handle information requests from internal staff and external contacts with professionalism and discretion.
- Conduct basic research as needed to support administrative and executive tasks.
- Support front desk and reception activities by greeting visitors and directing them appropriately, as required.

- Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint.
- High school diploma or GED.
- 02 years of experience in administrative support, administrative assistance, or front desk roles.
Additional Skills & Qualifications
- Experience providing administrative support to executives or senior leaders is beneficial.
- Background in front desk or reception work is an advantage.
- Comfort with preparing financial statements and basic financial documents is helpful.
- Familiarity with records management systems and document filing procedures is preferred.
- Ability to adapt to changing priorities and support various office functions as needed.
Work Environment
This role operates in a professional office environment with a front desk and reception area. The Administrative Assistant / Receptionist works primarily on a computer using Microsoft Word, Excel, PowerPoint, and email systems, and regularly handles physical documents, mail, and office supplies. The position involves regular interaction with staff, visitors, and external contacts, requiring a professional demeanor and appearance. Job Type & Location
This is a Contract position based out of Miami, FL.
Pay and Benefits
The pay range for this position is $21.00 - $22.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
