Role Overview

The Product Content & Compliance Coordinator serves as a key operational bridge between product content and product compliance, reducing launch delays, minimizing documentation errors, and ensuring teams have the information they need to support customers, meet compliance requirements, and scale efficiently.

This role serves as the central point of collection, review, and management of the digital information, testing requirements and requests, and product documentation supporting the furniture Maxwood sells. This person will serve as a coordination point across Compliance, Product Development, Product Visualization, Purchasing, Inventory Management, Quality, suppliers, testing laboratories, and external partners located in the US and Asia.

Responsibilities

- Collect, organize, review, and maintain product content, digital information, testing documentation, and related product records
- Coordinate product testing requests and supporting documentation with internal teams, suppliers, testing laboratories, and external partners
- Track testing requirements, submissions, timelines, results, and outstanding documentation to help keep product launches and compliance activities on schedule
- Communicate status updates on content readiness, testing progress, documentation revisions, replacement parts setup, and open compliance items
- Review incoming product information and documentation for completeness and accuracy, following up on missing, inconsistent, or outdated information
- Maintain organized, accessible product and compliance documentation so internal teams can quickly locate current information
- Coordinate updates and revisions to product information and documentation as products move through development, testing, launch, and ongoing maintenance
- Support the setup and maintenance of replacement-parts information and related product documentation
- Identify information gaps, assign or confirm next steps with responsible stakeholders, and follow issues through resolution
- Track open items and deadlines across internal and external stakeholders, escalating delays or unresolved issues that may affect content readiness, testing, or compliance
- Respond to routine requests for product documentation and information from internal teams and external partners
- Support continuous improvement of workflows, systems, documentation standards, and reporting processes

Requirements

- Strong organizational skills with the ability to manage multiple requests, deadlines, and follow-up items at the same time
- High attention to detail and accuracy when reviewing, entering, and maintaining product information and documentation
- Strong written and verbal communication skills with the ability to coordinate across multiple internal teams and external partners
- Comfortable following established processes, tracking open items, and following through until issues are resolved
- Ability to identify missing or inconsistent information and proactively follow up with the appropriate stakeholders
- Comfortable working with spreadsheets, shared documents, digital files, and business systems
- Ability to work effectively in a fast-paced, cross-functional environment where priorities and timelines may shift

Preferred Qualifications

- Previous experience in a coordinator, product data, product content, compliance, quality, purchasing, or similar operational support role
- Experience maintaining product information, technical documentation, testing records, or other detail-heavy business data
- Experience coordinating with suppliers, laboratories, vendors, or other external partners
- Experience working with consumer products, furniture, ecommerce, manufacturing, importing, or a related environment is a plus
