Job Title: Data Entry Specialist / Records Administrator Job Description The Data Entry Specialist / Records Administrator enters information from digital maintenance documents into a computerized maintenance tracking system and ensures the accuracy, legibility, and proper indexing of all records. This role also supports mail processing by matching original hard copy documents to their corresponding digital records and participates in peer-to-peer training to help maintain consistent processes and standards. Responsibilities
- Enter and verify information from maintenance documents, including discrepancies and corrective actions, into the computerized maintenance tracking system.
- Review digital maintenance records for legibility and completeness before entry and indexing.
- Index each page of digital maintenance documents accurately to ensure proper organization and retrieval.
- Match original hard copy maintenance documents to their scanned digital versions and verify that all pages are legible and correctly captured.
- Process documents scanned into Onbase and forward completed work orders to the Library or designated records repository.
- Receive and handle incoming mail related to maintenance records and ensure documents are properly logged and tracked.
- Participate in peer-to-peer training to support consistent data entry and records management practices across the team.
- Assist the supervisor with additional duties and administrative tasks as needed to support departmental operations.
Essential Skills
- At least 2 years of data entry or equivalent experience.
- Previous experience in a records management role.
- Strong data entry skills with a minimum typing speed of 65 words per minute.
- Proficiency with Microsoft Office and general computer skills.
- Ability to accurately enter, verify, and index data in a computerized maintenance tracking system.
- Attention to detail and strong focus on accuracy and legibility of records.
- Ability to review and confirm that digital and hard copy documents match and are complete.
- High school diploma or equivalent education.
Additional Skills & Qualifications
- Experience working with document imaging or records management systems such as Onbase.
- Comfort working with maintenance-related documentation, including discrepancies and corrective actions.
- Strong organizational skills and the ability to manage multiple documents and tasks simultaneously.
- Effective communication skills for collaborating with peers during training and process improvement.
- Ability to support supervisors and team members with additional administrative duties.
- Interest in developing a long-term career in records management or operations support.
- Motivation to grow within the organization, as other groups may hire directly from this team after one year in the role.
Work Environment This position operates in a professional corporate office environment with standard business hours, Monday through Friday from 8:00 a.m. to 5:00 p.m. The role is fully onsite during the training period at a corporate office location in the Columbus area. The dress code is business casual. Team members work with computerized maintenance tracking systems and document management tools, including Onbase, and collaborate closely with peers and supervisors in a structured, detail-oriented setting. The role serves as a strong entry point into the organization, with opportunities for advancement into other groups after successful performance in the position for over a year.

Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
