Harlem Children’s Zone (HCZ) — a world-renowned education and poverty-fighting organization based in New York — seeks an enthusiastic, dedicated, and mission-aligned Administrative Coordinator to support the College Success Office team.
The College Success Office (CSO) provides year-round academic, administrative, and emotional support as well as financial and career preparation to participants of HCZ’s Promise Academy high schools and afterschool programs. Our mission is to ensure that our participants are provided the resources and guidance needed to be successful in college and beyond. The main components of the CSO include: student outreach, academic support and guidance, financial aid advisement, college transfer assistance, summer and winter internship opportunities, and community building efforts within our program.
We are seeking a committed and organized Administrative Coordinator to support the operations of our College Success Office portfolio. The Administrative Coordinator will supervise the Office Manager, coordinate scheduling and logistics for the Director of the College Success Office, and support other administrative tasks. The successful candidate will possess excellent organization, prioritization, and written and verbal communication skills. They will be a strong collaborator who thrives in a dynamic, fast-paced, and highly team-oriented environment.

Requirements
- Bachelor’s degree required.
- Proficiency in Microsoft Office Suite and knowledge of HR and/or accounting, expenses, or procurement software are preferred.
- 2+ years of professional experience required, ideally in administrative or office management environments.

- Project Management experience is preferred.
- Experience in managing executive-level calendars and changing meeting schedules.
- Experience managing others in a professional setting.

- Must be a self-starter who takes initiative and is highly proactive and self-disciplined.
- Resourcefulness, creativity, and strong problem-solving skills.
- Must possess high credibility and absolute commitment to confidentiality and professional integrity.
What you'll do
- Assist the Director with scheduling appointments, meetings, and events while ensuring efficient time management.
- Assist the Director in various projects, research tasks, and administrative duties related to the College Success Office’s objectives.
- Supervise the Office Manager and related staff to ensure the successful execution of priorities.
- Organize and maintain important documents, files, and records related to the College Success Office portfolio’s programs and initiatives.
- Manage email correspondence, draft memos, and communicate with internal teams, external partners, and stakeholders on the Director's behalf.
- Coordinate logistics for meetings, including preparing agendas, materials, and minutes, and ensuring follow-up on action items.
- Collaborate with other HCZ administrative teams to coordinate multi-stakeholder events and activities related to the College Success Office portfolio.
- Ensure the site area is always clean and presentable; oversee the collaboration with the Facilities Department to maintain the aesthetic appearance of office space.
- Perform other duties and projects as assigned.
Schedule
- Monday-Friday, 9 AM-5 PM; some schedule variations and flexibility as needed
- Hybrid Model: 4 days in-office, 1 day remote
