Job description
NYLAG seeks a detail-oriented and highly organized Finance Coordinator to support grant compliance, personnel cost tracking, staff funding allocations, and payroll administration. The position is part of the Finance department, reports to the Controller and works closely with Human Resources, Development, and program teams to ensure employee time and salary costs are accurately recorded, supported, and allocated to the appropriate grants, contracts, and funding sources.

The Coordinator will maintain grant-related personnel documentation, support grant billing and reporting, assist with payroll processing and reconciliations, and help prepare for audits and funder requests. This is an excellent opportunity for an early-career professional who enjoys working with data, systems, and cross-functional teams and is interested in nonprofit finance and grant compliance.

Duties and Responsibilities
Grant Compliance & Personnel Cost Tracking
- Review employee timecards, timesheets, time allocations, and personnel cost distributions for accuracy, completeness, and compliance with organizational and funder requirements.
- Track salary and related personnel costs charged to grants, contracts, departments, programs, and other funding sources.
- Follow up on missing, incomplete, or inconsistent time and allocation information.
- Support grant billing, reimbursement requests, financial reporting, audits, monitoring visits, and funder reviews by gathering and organizing required documentation.
Staffing, Funding Allocation & Payroll Support
- Maintain current and accurate staffing, salary, and funding allocation records supporting changes related to new hires, terminations, promotions, transfers, salary adjustments, leaves of absence, and changes in grant funding.
- Review payroll data for accuracy and consistency with approved employee changes and help resolve discrepancies in coordination with Human Resources and Finance.
- Assist with semi-monthly payroll processing in collaboration with the Payroll and Benefits Manager, including review of compensation, deductions, funding allocations, and employment status changes.
- Maintain supporting documentation for payroll and staffing changes and assist with payroll audits, 401(k) audits, and year-end payroll reporting.
Grant Documentation & Reporting
- Maintain organized electronic grant compliance files, including timesheets, payroll records, pay statements, salary information, and other personnel cost support.
- Ensure required documentation is complete, accurate, and available for reporting deadlines, audits, and funder requests.
- Help develop and maintain standardized processes for collecting and organizing grant-related personnel documentation.
Systems, Data & Process Improvement
- Maintain grant, timekeeping, staffing, funding allocation, and payroll-related spreadsheets, databases, and tracking tools.
- Reconcile information across Human Resources, payroll, timekeeping, and financial systems to identify and resolve discrepancies.
- Generate reports and provide payroll- and grant-related data to Finance, Human Resources, Development, and program teams.
- Identify opportunities to improve workflows, reporting, and data accuracy.

Qualifications
Required
- Bachelor's degree in Accounting, Finance, Business Administration, Public Administration, Human Resources, or a related field, or an equivalent combination of education and relevant experience.
- 2-4 years of experience in nonprofit finance, grants administration, payroll, accounting, or a related field.
- Excellent Excel and Microsoft Office skills, with the ability to work accurately with large volumes of data.
- Strong organizational, analytical, problem-solving, and communication skills.
- Ability to manage multiple priorities, meet recurring deadlines, and handle confidential employee and financial information with discretion.
- Interest in nonprofit finance, grant compliance, payroll, and financial operations.
Preferred
- Experience supporting grant-funded programs, government contracts, grant billing, financial reporting, or grant compliance activities.
- Experience with payroll, timekeeping, staffing allocations, or personnel cost reporting.
- Experience using payroll, HRIS, accounting, or financial management systems such as Rippling, ADP, Paycom, Paylocity, or similar platforms.
- Experience in a nonprofit or legal services organization.

Salary Range : NYLAG is a unionized workplace, and salaries are set pursuant to a collective bargaining agreement. The current salary range for this position is between $82,300 and $87,320.
