Purpose :

The Project Administrator provides organized, accurate and timely administrative support to project managers and multidisciplinary project teams in the Reading office. The role helps maintain project routines, records, meetings, communications and reporting so work is executed in accordance with company procedures, customer requirements and agreed schedules. In addition, the position will assist with facility management duties to support the efficient day-to-day operation of the office. The successful candidate will manage competing priorities, exercise sound judgment and serve as a dependable point of coordination throughout the project lifecycle.

Responsibilities :

- Provide day-to-day administrative and coordination support to project managers, project controls personnel, discipline leads and other project team members.
- Coordinate project meetings, calendars and logistics; prepare agendas, capture minutes and action items, distribute materials and follow up on commitments and deadlines.
- Prepare, format, proofread and distribute project correspondence, reports, presentations, spreadsheets and other deliverables.
- Maintain project files, team sites, distribution lists, contact lists, registers and administrative records in accordance with approved procedures and retention requirements.
- Support project mobilization and demobilization, including onboarding coordination, system and access requests, workspace needs, team rosters and timely removal of project-specific access.
- Assist with routine project reporting by compiling data, updating trackers and dashboards, and monitoring the status of deliverables, milestones and action items.
- Support timekeeping, expense reporting, invoice documentation, purchase requests and other routine project administration as assigned.
- Coordinate the routing of documents and correspondence among internal teams, customers, vendors and suppliers while maintaining confidentiality and appropriate access controls.
- Work closely with Document Control to ensure formal project records are submitted, distributed and retained through approved systems and processes.
- Help maintain project-specific procedures, templates and communication routines; identify administrative improvements that increase consistency and efficiency.
- Promote positive working relationships across multi-discipline and multi-location teams and provide professional, responsive support to internal and external stakeholders.
- Perform all work in accordance with Worley health, safety, quality, security and ethics requirements.

What you will bring

Technical/Industry Experience and Qualifications Requirements:

- Prior administrative, project support or coordination experience in a professional environment; experience supporting engineering, consulting, construction, power or EPC/EPCM projects is preferred.
- Strong proficiency in Microsoft Outlook, Word, Excel, PowerPoint and Teams.
- Demonstrated ability to organize information from multiple sources, manage schedules and deadlines, and maintain accurate records.
- Strong written and verbal communication skills, attention to detail and commitment to responsive customer service.
- Ability to work independently within established procedures while collaborating effectively with a project team.
- Discretion in handling confidential, commercial and project information.
- Experience with SharePoint, electronic document management systems, project collaboration platforms or enterprise business systems is an asset.

Education – Qualifications, Accreditation, Training:

Required:

- High school diploma or equivalent required; associate degree or post-secondary coursework in business administration, project management or a related field preferred.
