Join us as a Sr Administrative Specialist to provide administrative support to our Staff Legal offices.

The Sr Administrative Specialist provides advanced level legal administrative support on complex matters for multiple staff Attorneys, maintaining a close and highly responsive relationship to the day-to-day activities of the assigned Attorney(s). Exercises extensive initiative and judgment relative to the role. Works collaboratively in a team-based environment with all internal Legal Departments.

Responsibilities:

- Document and Research Management: Expertly manage legal documents and implement effective research strategies, assisting in the drafting of complex documents, including detailed pleadings comporting with jurisdictional requirements to support ongoing cases.

- Attorney Coordination: Understand and address the needs of attorneys regarding ongoing cases, including managing the timing of depositions and communicating with insured parties, particularly in complex matters, multi-party and multi-jurisdictional litigation contexts if needed.

- File Coordination Across Jurisdictions: Coordinate and align complex file needs, including multiple jurisdictions if needed, ensuring all relevant information and documentation is organized and accessible for ongoing multi-party litigation.

- Operational Risk Mitigation: Proactively identify and mitigate potential operational risks by applying knowledge of office management objectives and procedures, ensuring seamless workflows within the legal environment.

- Client and Stakeholder Engagement: Work closely with clients, stakeholders, and attorneys to represent department interests, including coordinating meetings and facilitating effective communication.

- Effective Communication Skills: Convey information and messages in a clear, professional, and impactful manner, demonstrating active listening to understand diverse perspectives and address complex challenges in litigation.

- Technology Proficiency and Adaptation: Utilize advanced office software, databases, and case management programs effectively, quickly securing relevant information, managing complex case files, and organizing large volumes of data, while continuously learning and adopting new technologies to enhance efficiency.

- Project Management and Logistics Coordination: Take responsibility for coordinating logistics for larger, complex projects, such as multi-day depositions on complex matters, including in multiple jurisdictions if needed, by planning and organizing tasks, allocating resources effectively, and monitoring project progress to ensure objectives are met while communicating updates with Claims partners.

Qualifications

- Minimum of 5 years of legal administrative experience or equivalent training.

- Expert knowledge of administrative hearings, court rules and procedures.

- Expert knowledge of legal terminology and syntax, and of the content, organization, and format of legal documents and correspondence.

- Expert ability to edit and proofread legal documents.

- Expert ability to prioritize effectively while anticipating attorney and / or file needs proactively.

- Expert oral and written communications skills to communicate skillfully with policyholders, courts, attorneys, and judges.

- Displays expert MS-office skills, and high proficiency in using legal software systems.
