Description
The Lifecycle Operations Administrator performs detailed administrative and data-quality work supporting Centellas equipment and service processes throughout the customer and equipment lifecycle. The primary focus of this role is reviewing, creating, correcting, and maintaining assigned records in company and partner systems in accordance with established procedures. The Administrator helps ensure that customer accounts, service opportunities, service agreements, coverage, warranties, and related customer, equipment, and asset linkages are complete, accurate, and properly maintained. Assignments may change as business needs, processes, systems, and automation evolve.
Main Duties and Responsibilities
Account and Master Data
- Process new customer account requests by verifying required information, approvals, and existing records. Create and maintain accurate customer accounts and associated site, contact, billing, service, sold-to, end-user, and related information while preventing duplicate records.
- Research and correct account and master-data discrepancies within assigned authority, retain supporting documentation, and route items requiring additional review or approval.
Service Agreements and Coverage
- Review service opportunities, agreements, addenda, and related source documents for completeness, consistency, and accuracy.
- Create, correct, and maintain service agreements, coverage, extended warranties, and related system records in accordance with approved documentation.
- Verify covered equipment, coverage type, provider, effective and expiration dates, labor rates, and applicable pricing information against authorized source documentation.
- Maintain accurate coverage detail in the service CRM, including partner passthroughs and subscriptions, and confirm that each covered system reflects the applicable warranty, service agreement, or time-and-materials status.
- Confirm that service opportunities and agreements are properly linked to the applicable customer, equipment sales opportunity, asset, and covered system.
Data Quality and Reconciliation
- Perform assigned data-quality reviews and reconciliations across CRM, ERP, and other partner systems by comparing reports and source documentation. Correct discrepancies within assigned authority or route them to the appropriate record owner.
- Support the reconciliation of sales-source data to Centella CRM and route required source-record corrections to the appropriate opportunity owner.
- Maintain assigned queues, mailboxes, trackers, schedules, reports, and exception logs, including status, aging, completion, and follow-up information.
Cross-Functional Support and Communication
- Support Sales, Finance, Service, and other departments by locating, verifying, and providing sales-related documentation and account information, including customer purchase orders, signed agreements, billing and site contacts, and related order or opportunity information.
- Communicate missing information, risks, recurring errors, and unresolved exceptions promptly, and coordinate with Sales, Service, Finance, and other process owners as needed.
Procedures, Controls, and Continuous Improvement
- Follow established procedures, approval requirements, internal controls, and applicable contractual, accounting, regulatory, and business-partner requirements. Validate records against approved source documentation before processing changes.
- Maintain assigned procedures and reference materials; cross-train and provide backup coverage; support system testing and process improvements; and complete other Lifecycle Operations assignments or special projects as needed.
Skills and Abilities
- Exceptional attention to detail and commitment to data accuracy.
- Ability to follow established procedures, checklists, documentation standards, and approval requirements consistently.
- Strong research and problem-solving skills, including the ability to identify potential duplicate or conflicting records.
- Strong organizational, follow-up, and time-management skills.
- Clear written and verbal communication and a strong internal customer-service orientation.
- Proficiency with Microsoft 365 applications and familiarity with CRM, ERP, and related business systems such as Dynamics 365, SAP, or equivalent platforms.
Qualifications
- Bachelors degree required; a degree in Business Administration, Healthcare Administration, Operations, Finance, Information Systems, or a related field is preferred.
- At least one year or more of experience in data administration, customer account maintenance, service administration, order support, CRM support, or a related function.
- Experience reviewing detailed records and validating system data against source documentation.
- Experience with CRM, ERP, agreement-management, or related workflow systems preferred.
