Job Summary:
The Operations Manager, Marketing and Communications, plays a critical role in strengthening the operational foundation of the Marketing and Communications function. Reporting to the Director of Operations, Marketing and Communications, this role supports budget planning and tracking, vendor management, workflow governance, and project execution across brand, communications, creative, digital experience, and other related functions.
This individual partners closely with Marketing and Communications leaders to ensure budgets, vendors, projects, and team workflows are managed with discipline, visibility, and accountability. The ideal candidate is a highly organized operations professional who can manage competing priorities, coordinate cross-functional work, oversee vendor and budget processes, and drive consistent execution in a fast-paced environment.
Responsibilities:
Budget, Vendor, and Procurement Management
- Manage day-to-day vendor and agency relationships, including onboarding, scope coordination, contract tracking, performance check-ins, issue resolution, and alignment to approved budgets and governance requirements.
- Process and track invoices against approved budgets, reconcile discrepancies, monitor spend trends, and flag variances or risks to the Director of Operations.
- Maintain budget tracking documentation and support monthly and quarterly budget-to-actuals reporting, including spend summaries, forecast updates, and variance explanations.
- Coordinate vendor and contractor management with procurement, manage third-party intake requests, and required approvals, ensuring vendor engagements follow company policy, budget parameters, and internal governance requirements.
Operations and Project Management
- Develop project plans, timelines, workbacks, budget tracking milestones, and vendor coordination plans.
- Manage project schedules and coordinate deliverables, ensuring clear visibility, accountability, budget alignment, and approval readiness across internal teams and external partners.
- Monitor milestones, dependencies, risks, budget considerations, and resource needs to support successful delivery.
- Facilitate project meetings and provide regular status updates to leadership and stakeholders, including progress, risks, budget considerations, decisions needed, and governance checkpoints.
Workflow, Intake, and Team Operations
- Manage day-to-day intake, prioritization, and workflow coordination across digital, internal communications, external communications, social media, events, brand, and creative channels.
- Maintain and improve team operating processes, governance standards, and workflow tools to increase visibility, consistency, and accountability.
- Support planning calendars, operational rhythms, project roadmaps, and launch schedules to help the team manage priorities and dependencies.
- Ensure deliverables move efficiently through review, approval, and governance processes.
Cross Functional Collaboration
- Serve as a liaison between Marketing & Communications and key business partners including HR, Legal, Compliance, IT, and the business.
- Coordinate enterprise initiatives requiring integrated communications and marketing support, ensuring clear ownership, budget visibility, approvals, and decision-making pathways.
- Build strong working relationships across stakeholders to drive alignment and execution.
- Help ensure consistency in processes, messaging, and delivery standards across cross-functional initiatives.
Planning, Reporting, and Operational Improvement
- Maintain dashboards and reporting tools to provide visibility into project status, budget tracking, team capacity, resource allocation, and governance milestones.
- Support annual planning efforts, quarterly business reviews, department reporting, and leadership presentations for Marketing and Communications.
- Partner with the Director of Operations to align projects, portfolios, budgets, and governance practices with strategic business objectives, departmental KPIs and goals.
- Identify opportunities to streamline workflows and improve team productivity.
- Develop and maintain project templates, governance frameworks, budget tracking tools, and best practices.
Education and Experience:
- Bachelor's degree in Marketing, Communications, Public Relations, Business Administration, or a related field.
- 5+ years of operations, project management, budget coordination, vendor management, or marketing and communications experience.
- Experience managing cross functional initiatives. Strong knowledge of operational workflows, project governance, budget tracking, procurement processes, and cross-functional stakeholder management.
- Proficiency with project management platforms such as Asana, Monday.com, Smartsheet, Workfront, Jira, or Microsoft Project.
- Familiarity with procurement, finance, or vendor management systems used for purchase requisitions, invoice processing, contract tracking, budget reporting, and governance documentation, such as Workday, SAP Ariba, NetSuite, or similar.
- Exceptional organizational, communication, and stakeholder management skills.
- PMP certification or equivalent project management training preferred.
- Experience within a large, matrixed, or global organization preferred.

Pay Details:
The base compensation range for this position is $123,250 - $145,000. This range reflects Acrisure's good faith estimate at the time of this posting. Placement within the range will be based on a variety of factors, including but not limited to skills, experience, qualifications, location, and internal equity.
Candidates should be comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership.
