Commercial Property Coordinator 
This position assists Property Managers and company officers with administrative tasks related to the management of assigned properties. Responsibilities include screening incoming calls from tenants, vendors, and owners, as well as handling requests within the designated scope of work. Additional duties involve administrative support such as database management, contract administration, correspondence, word processing, and various portfolio-dependent projects.
Key Responsibilities Provide outstanding customer service to all internal and external clients Communicate effectively with all customers Meet regularly with Property Manager to communicate issues, etc. Maintain positive relationships with Property Managers and Coordinators, Accountants, Tenants, and Vendors Work effectively with each Property Manager Assist other Property Managers/Coordinators when needed or requested
Manage Work Order Process Communicate with vendors, tenants, and Property Managers effectively. Follow up with tenants and vendors Ensure continual communication with tenants to manage delinquencies Follow up DAILY on payments due and outstanding balances Update Yardi notes to reflect communication/correspondence Maintain open communication with the PM and accountant Organization and coordination of property information Laserfiche – ensure property information is saved correctly including but not limited to bids, abstracts, reports, maintenance reports, photos, correspondence, etc. Follow-up and follow-through on information for the property (on call notes) Contact information is accurate and up-to-date Workbooks are updated and completed Assist Property Manager as needed Property inspections Receive calls from owners and call owners Budget comparisons Complete Abstracts Schedule and take appointments for PM and add to their calendar Complete move-outs- take photos, walk through with tenants Show spaces to new tenants Complete insurance/lender inspections; walk through property with representative Meet with vendors on site

Education/Experience High school diploma or equivalent Strong administrative experience Microsoft Office (with ability to learn new programs) Strong customer service background
