About this role
The Risk Systems and Data Management Specialist, New Business Intake (NBI), will support the systems, data integrity, and maintenance activities that underpin the Firm’s NBI function. The role holder will act as a subject matter expert, helping to ensure the accuracy, consistency, and reliability of the data and systems that support client onboarding, matter opening, and ongoing maintenance. They will champion best-in-class data quality practices to mitigate business risk, support regulatory compliance, and meet the needs of Firm lawyers and other stakeholders while providing a positive user experience.
Main Responsibilites:
Data management and maintenance:
• Ensure the integrity, accuracy, and consistency of client and matter data within Intapp Intake, Intapp Conflicts, and related risk systems, especially for data maintenance, corporate tree structures, and the placement of client, matter, and risk alerts.
• Lead the review and resolution of complex data issues by identifying root causes, recommending appropriate solutions, and escalating high-impact concerns where required.
• Develop, document, and recommend enhancements to data management procedures and best practices to support regulatory compliance and operational excellence.
• Develop and deliver training materials, user guides, and presentations to strengthen knowledge and adoption of risk systems and data management processes across the Firm.
• Monitor data quality trends, identify potential control weaknesses, and recommend and support implementation of proactive measures to improve data integrity and reduce operational risk.
Project management and continuous improvement:
• Promote a culture of continuous improvement across the Firm’s risk systems by identifying opportunities to enhance efficiency, functionality, user experience, and data quality.
• Engage with internal clients and key stakeholders, managing expectations and supporting the adoption of Intapp products and other core risk system solutions to achieve efficiencies.
• Collaborate closely with Technology and the PMO to design, plan, and execute user acceptance testing for new functionality, enhancements, upgrades, and system implementations.
• Lead defined workstreams or support projects and initiatives relating to risk systems, data management, process improvement, and operational transformation.
Vendor and system management:
• Develop and maintain reports and dashboards to monitor risk system performance and utilisation, and support oversight of contractual commitments, identify trends, and provide information to help optimise system use and business value.
• Act as a key liaison between business stakeholders, Technology teams, and external vendors, monitoring, and escalating system performance against agreed service levels and supporting the resolution of issues.
• Proactively identify, assess, and escalate issues, outages, risks, or delays that may affect system performance, user experience, or deployment plans.
Reporting and analysis:
• Support the collection, validation, analysis, and presentation of information to enable informed decision-making and operational improvement within Firm risk systems and data management.
• Identify trends, issues, and opportunities through data analysis, and provide evidence-based findings and recommendations to NBI leadership and functional leads.
• Produce ad hoc reports and analytical insights using data from Intapp Open, Intapp Time, SAP, and other relevant systems.
Stakeholder management:
• Build and maintain trusted relationships with internal and external stakeholders, including Partners, PAs, NBI Management, Technology teams, Risk Management, vendors, and other business functions.
• Act as a subject matter expert and key point of contact for Risk Systems and Data Management, providing specialist advice, guidance, and support to relevant stakeholders across the Firm.
• Represent Risk Systems and Data Management in stakeholder meetings, working groups, and project initiatives, as required.
• Support operational change by promoting best practices, encouraging user engagement, and contributing to the successful adoption of new processes and technologies.
Skills and Experience:
• A bachelor’s degree (2:1 or above preferred) or equivalent professional experience.
• At least three years’ relevant experience in risk systems, data management, business systems, client onboarding, legal operations or a comparable professional-services environment.
• Demonstrated experience of working independently and resolving complex issues where established precedents or procedures may not be available.
• Experience of supporting system enhancements, user acceptance testing, implementations or operational change.
• Experience of analysing data, identifying trends and presenting clear findings or recommendations to stakeholders.
• Experience of developing or improving procedures, training materials or user guidance.
• Ability to act as a subject matter expert and provide specialist guidance to colleagues and stakeholders.
• Strong analytical research, critical-thinking and problem-solving skills, with accuracy and attention to detail.

• Excellent written and verbal communication skills, with the ability to provide specialist guidance clearly and effectively.
