Role Purpose
The Trademark Support Specialist will provide administrative and operational support to the Intellectual Property team in connection with the management and maintenance of trademark portfolios. The role will support trademark filing and prosecution activities, portfolio administration, deadline management, client reporting and other administrative processes related to trademark protection.
The successful candidate will have prior experience managing trademark portfolios within a mid-sized or large law firm environment and will be highly organized, detail-oriented and comfortable managing multiple deadlines and priorities.

Main Responsibilities
- Support the preparation, filing and ongoing monitoring of trademark applications and other trademark-related proceedings before the Mexican Institute of Industrial Property (IMPI).
- Prepare and organize documentation required for trademark matters, including forms, powers of attorney, supporting documents and case files.
- Monitor and maintain accurate records of trademark deadlines, renewals, official communications and registration status.
- Maintain and regularly update trademark portfolio information and internal databases, ensuring accuracy and completeness of records.
- Support the preparation of trademark portfolio reports, status reports and other materials for clients and legal teams.
- Coordinate and follow up on administrative requirements related to trademark prosecution and portfolio management.
- Provide administrative support in connection with brand protection matters.
- Assist with the monitoring and follow-up of customs alerts and related brand protection activities.
- Coordinate with lawyers, internal teams, clients and external parties as required to facilitate the timely completion of trademark-related processes.
- Ensure that documentation and electronic files are appropriately maintained and organized.
- Support the team with additional administrative and operational activities related to trademark portfolio management as required.

Skills and Experience
- Bachelor’s degree or equivalent qualification in Business Administration, International Business, Intellectual Property Administration or a related field is preferred.
- Three to five years of relevant experience in trademark administration and/or trademark portfolio management, preferably within a mid-sized or large law firm.
- Previous experience supporting trademark filing and prosecution processes before IMPI.
- Experience preparing and managing trademark documentation, powers of attorney, case files and related administrative requirements.
- Experience monitoring deadlines, renewals, official communications and trademark registration status.
- Experience maintaining trademark databases and managing trademark portfolios.
- Strong organizational and time-management skills, with the ability to manage multiple matters and deadlines simultaneously.
- High level of accuracy and attention to detail.
- Strong communication and interpersonal skills, with the ability to work effectively with lawyers, internal teams, clients and external parties.
- Advanced English proficiency, both written and spoken.
- Strong working knowledge of Microsoft Office applications.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Ability to work independently while contributing effectively within a collaborative team environment.
