About this role

About Praxis

Praxis began in 2011 with a desire to support and equip Christian entrepreneurs and has grown steadily into a 35+ person, NY-centric team advancing the redemptive quests of founders, funders, and innovators motivated by their faith to address the major issues of our time. As a $15M+/year nonprofit with ambitious growth plans, we're expanding our venture-building work globally, organizing around the major issues of our time, and building media and more to activate the redemptive potential of Christians around the world. We see our team as the first carriers of the mission, building an organization that is great to work at, excellent in its craft, and redemptive in its finances as well as its programs.

The Role

This role reports to Sedona Vickers, the Director, Finance & Operations at Praxis. As the Manager, Finance & Operations, you are part of the operational engine running behind the scenes of a global, mission-driven organization. Praxis is a lean, high-trust team doing ambitious work across multiple continents, and the finance & internal operations function helps make sure the foundation is solid and every checklist is complete, so the mission can go forward.

This role sits at the intersection of finance, operations, people, and systems. You’ll work with a team of leaders who see these functions as a way to live out redemptive operations. When these domains are well-maintained, the whole organization moves faster and is able to accomplish more in pursuit of awakening redemptive imagination in the world. You play a key role in that by owning execution with consistency, building systems that outlast any single process, and catching the things before anyone else notices they are falling.

You'll split your time between supporting the Director, Finance & Operations (~70%) and the Chief of Staff (~30%). On the finance and ops side, that means making sure daily and weekly financial tasks are happening on time, serving as the point of contact for our accounting firm, and project managing the annual budgeting process. You'll also own project management for our annual performance review cycle, new hire onboarding, and hiring logistics — the kind of work where your organizational instincts directly shape how new team members experience Praxis from day one.

We're looking for someone who gets genuinely excited about a well-built system and finds real satisfaction in making complex things run smoothly and quietly. Your friends probably describe you as the one who always follows through on a plan. If you're a detail-oriented, proactive operator who wants to do meaningful work at a growing organization this role was made for you.

Key Areas of Responsibility

Finance Operations - 20%

- Approve Accounts Payable on a bi-weekly basis

- Send weekly expense coding reminders to all cardholders (Ramp); proactively track down missing receipts and coding before month-end.

- Review and approve all employee reimbursement requests: verify receipts, confirm coding, and process approvals within the defined turnaround window. Flag any out-of-policy expenses to the Director before approving.

- Serve as the day-to-day contact for our accounting firm, Jitasa: route routine requests, provide transaction documentation and context they need to close the books, and follow up on open items on their behalf.

- Own the month-end close calendar: build and maintain a close checklist with task owners and deadlines; send reminders to each owner; track completion; and flag to the Director if the close is at risk of missing the target date — with enough lead time to course-correct.

- Handle all accounts payable and accounts receivable vendor communication: onboard new vendors to Bill.com, collect W-9s at time of engagement, respond to vendor payment inquiries, and coordinate with Jitasa on AP/AR questions.

- Work with the Fractional CFO to produce event budget-to-actuals in coordination with each program team on a post-event basis.

Project Management of Annual Planning Rhythms - 20%

- Own and update the Asana project for the annual budget process: set up Asana tasks with owners and due dates, create all calendar invites, and send reminders at each milestone. Proactively look for roadblocks, whether in process or calendaring.

- Support the Fractional CFO during budget season with data pulls, document organization, and action items within the team so the CFO time is concentrated on the financial model and strategic assumptions.

- Own and update the Asana project for the annual role review process: build the calendar, set up Asana tasks, track completion, and update & configure templates each year in Lattice, our HR Performance system.

Compliance & Internal Systems - 15%

- Update and maintain the compliance filing system in Dropbox: organize all compliance-related documents (state charity registrations, insurance policies, audit files, 990s, EOR agreements, new-state filings) into a clear, findable structure.

- Own new-state setup from start to finish when Praxis hires in a new state: register with the relevant government entities (secretary of state, department of labor, tax authority), set up payroll tax accounts, and document the completed setup with confirmation records in the compliance filing system.

- Conduct a quarterly audit of all software tools: review active user lists, identify unused licenses or inappropriate access levels, and produce a clean summary of recommended changes for Director approval.

- Maintain all Asana templates and Notion pages on a monthly review cadence: after any new process is rolled out or any organizational change occurs, identify what needs to be updated and update it so that templates and knowledge bases reflect current reality.

- Support the annual benefits analysis: pull current plan utilization data, gather employee headcount by plan type, and coordinate document requests from insurance brokers and benefits administrators.

- Own the Finance & Internal Operations Asana project. Ensure it is up to date with all filing deadlines, renewal dates, and required actions across the year — updated continuously and surface to the Director at least 30 days in advance of each deadline.

Hiring & Onboarding Administration - 15%

- When needed, serve as “hiring surge support” by assisting with the scheduling and coordination for active candidate searches: schedule interviews, send confirmations, manage rescheduling, and ensure the candidate experience is smooth and professional at every touchpoint.

- Work alongside Hiring Managers to ensure Greenhouse (ATS) hygiene across all active searches: ensure candidate records are current, stage progressions are logged, feedback is captured after each interview round, and the pipeline is accurate at all times. Update the Hiring Dashboard in AirTable bi-weekly.

- Do a first-pass review of General Application candidates on a bi-weekly basis. Flag strong candidates for active searches to the Hiring Managers.

- Own all onboarding calendar setup for new hires: build the onboarding calendar from the standard template, schedule all required meetings, and confirm the most current resources & assets are linked.

- Maintain and improve onboarding documentation in Notion: after each new hire's onboarding, capture what worked and what didn't, and update templates and checklists accordingly. The onboarding experience should get incrementally better with each hire.

CoS Support - 30%

- Provide relief to the CoS and the office of the CEO by supporting the daily workflows of that team

- Help plan and execute quarterly team gatherings, board meetings, and partner meetings through deck creation and team communication

- Provide operational support for the creation and execution of the organizational’s annual calendar

- Serve as a coordinator for weekly team meetings, ensuring each meeting has a topic, a presenter, and any other needed prep

- Generate event briefs for CEO speaking engagements both internally and externally

- Manage the organization’s calendar through Praxis Admin and Info@ accounts

- Partner with the CoS to help the organization follow and update stated cultural and operational principles through templates and documentation

Who You Are

- You're the kind of person who can't leave a loop open. A to-do list coming out of a meeting or an unanswered email quietly motivates you until it's completed.

- You get satisfaction from a process that runs smoothly and invisibly, and you're always asking how it could run even better.

- When you notice you've done the same task three times, your instinct is to build a template, checklist, or system so it runs better the fourth time and maybe doesn't even depend on you to run at all.

- You're energized by rhythm and cadence. Weekly reminders, monthly reviews, and annual cycles feel like a steady heartbeat to you, and each cycle is a chance to make the next one better.

- You can happily serve more than one leader at once, keeping both sets of priorities in view and knowing when to ask which comes first.

- You see a deadline 30 days out and start moving now, because you'd rather flag a risk early than explain it late.

- You believe details are a form of hospitality. A well-scheduled interview or a thoughtful onboarding calendar is how you show people they’re seen and cared for.

- You can skillfully and comfortably use the Praxis set of digital tools, including Google Suite, Dropbox, Airtable, Slack, Asana, Notion, and Ramp

Cultural Alignment
Praxis finds its theological identity most clearly stated in the Lausanne Covenant (1974) and the Cape Town Commitment (2010) . All Praxis staff and program participants are asked to affirm The Apostles’ Creed as a statement of their own beliefs. The ideal candidate will demonstrate alignment with the above, as well as our mission to advance redemptive entrepreneurship. We're seeking a leader who combines operational excellence with a spirit of humility and service, contributing to our vision of building an organization that embodies redemptive principles in all aspects of its work and culture, which includes shared rhythms such as daily team prayer and a company-wide weekly Sabbath, as detailed in our Rule of Life for Redemptive Entrepreneurs (rule.praxislabs.org).
