Summary
Under the supervision of the VP of Childcare Services, the Operations Coordinator provides leadership and oversight for staff and programming serving school age (k-6) residents experiencing homelessness. This role supervises staff, leads the intake process for residents and their families, supports ongoing family engagement and growth, and ensures compliance with all applicable licensing requirements. The Operations Coordinator serves as a key liaison between families, students, school personnel, and community partners, helping to build trust and coordinate supports. The position models restorative practices and ensures a safe, structured, and nurturing environment where children and families can build stability and long-term success.
Essential Functions
- Supervise staff and oversee daily operations; communicate program needs and updates to the Vice President of Childcare Services.
- Ensure high-quality, trauma-informed care and enrichment for residents, including scheduling activities during non-school periods.
- Lead and coordinate the intake process for residents and families, including orientation, documentation, and goal setting.
- Facilitate ongoing family engagement through regular (weekly or biweekly) check-ins, collaboration, and referrals.
- Serve as a bridge between families, school personnel, and community partners to support each
- Maintain accurate documentation, including incident reports, goals, progress notes, and licensing
- Ensure compliance with all licensing, regulatory, and funding
- Collaborate with internal departments, including volunteer services, to support enrichment
- Support program development and potential expansion to additional age groups or
- Report suspected abuse or neglect as a mandated
Required Education and Experience
- Associate’s degree in a related field
- Minimum of 3 years working with children
- Experience supervising or leading teams
- Strong communication and interpersonal skills
Preferred Education and Experience
- Bachelor’s Degree in related field
- Experience working with trauma-impacted youth
- Bilingual (Spanish/English) preferred

Supervisory Responsibility
This position is responsible for the supervision of Childcare Associates.
Work Environment
This job operates as a on-site position with office space. While performing the duties of this position the employee may be exposed to weather conditions prevalent at the time. The employee may experience exposure to dust, pollens, pollutants, fumes, and communicable diseases as related to the healthcare and school environment. The noise level is moderate when being exposed to youth. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Position Type/Expected Hours of Work
This position is part- or full-time, and typical hours and workdays are Monday through Friday between 8:00 a.m. to 6:00 p.m Flexibility required including evenings, overnight needs, staff coverage, events, and professional development.
Travel
Travel is expected for this position.

Work Authorization/Security Clearance
Child Abuse History Clearance, PA State background check, FBI criminal background check, National Sex Offender Registry certificate; Valid driver’s license and motor vehicle check.
