Construction Service Administrator

The Construction Service Administrator supports multifamily construction projects through project administration, document control, subcontractor coordination, and construction closeout activities.

This role provides broad administrative and clerical support throughout the construction project lifecycle, helping Project Managers and Project Executives keep documentation accurate, organized, and moving on schedule. Your Role as a Construction Service Administrator

As a Construction Service Administrator, you will provide administrative support across all phases of multifamily construction projects, helping project teams achieve key goals and timelines while maintaining Thompson Thrift’s business, process, and quality standards.

Working closely with Project Managers and Project Executives, you’ll support construction documentation, submittals, subcontracts, purchase orders, insurance documentation, project reporting, and closeout. Your attention to detail and ability to keep information organized will help construction teams operate efficiently throughout the project lifecycle.

Key Responsibilities

- Review Project Management and Project Executive correspondence for grammar, spelling, accuracy, and professional presentation

- Prepare final drafts of project correspondence and route documents for signature

- Create and maintain organized electronic and hard-copy construction project files

- Support transmittals, submittals, and submittal log maintenance

- Assist with issuing and tracking subcontracts and purchase orders

- Maintain accurate subcontractor tracking logs

- Support certificate of insurance processes and COI reviews

- Obtain, print, and distribute construction drawings and other project documents to subcontractors and material suppliers as required

- Obtain weekly job cost reports and PCO logs and organize them for construction team review

- Prepare operations and maintenance manuals for construction projects and coordinate distribution at project completion

- Verify that required documents are current and properly organized before staff review meetings

- Support construction project closeout and document archiving

Education

- High school diploma or GED

Experience

- 2+ years of experience in a clerical or administrative role

Skills & Attributes

- Strong general office and business administration skills

- Proficiency with computers and business software

- Strong grammar, written communication, and document preparation skills

- Ability to follow established instructions and processes while ensuring required actions are completed

- Professional communication skills when working with team members, subcontractors, and material suppliers

- Organized, detail-oriented approach to managing construction documents, files, and administrative processes

- Initiative, adaptability, and a commitment to supporting shared project and company goals
