About this role
The University of Virginia School of Medicine (SOM) seeks a Project Coordinator to provide direct project and administrative support to the Director of Projects in the Dean’s Office. This role helps advance a broad portfolio of initiatives, programs, and projects assigned by the Director of Projects, in support of the Dean’s Office and SOM leadership.
Working closely with the Director of Projects, the Project Coordinator tracks deliverables and timelines, prepares materials and correspondence, coordinates across stakeholders, and handles day-to-day project logistics. This is a foundation-level professional role: work is closely supervised, and the Coordinator is expected to grow in independence and scope of responsibility over time while maintaining absolute confidentiality on sensitive matters.
Key Responsibilities Include :
- Provide specialized administrative support at the direction of the Director of Projects.
- Perform a variety of administrative duties that require a detailed understanding of organizational operations, policies, procedures, and structures.
- Collaborate with university and SOM stakeholders to research issues, gather and organize information, and support the Director of Projects with actionable insights for decision-making.
- Support a broad portfolio of initiatives, programs, and projects as assigned by the Director of Projects; help manage priorities, agendas, and timelines, and track progress toward measurable outcomes.
- Assist in maintaining current knowledge of relevant university and SOM policies, procedures, and compliance requirements.
- Help build and maintain strong partnerships with administrative and academic units across the institution.
- Develop communiques and correspondence.
- Collect, prepare, and distribute appropriate materials in an efficient and timely manner.
- Coordinate meetings, agendas, and follow-up actions with stakeholders, and maintain organized project files and documentation.
- Handle sensitive and confidential information with discretion at all times.
- Represent the School of Medicine in a professional and dignified manner.
Minimum Requirements
Education: Bachelor's Degree or combination of education and related experience in lieu of a degree required.
Experience: 3+ years of relevant experience required.
Preferred Qualifications
- Demonstrated excellence in written and verbal communication, with close attention to detail.
- Proven ability to work effectively with diverse stakeholders at all organizational levels.
- Proficiency in Microsoft Word, Excel, and PowerPoint; comfort learning new systems.
- Demonstrated ability to manage multiple concurrent priorities and shifting deadlines.
- Sound judgment and ability to manage sensitive and confidential information with discretion.
Physical Demands : This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Salary Range: : Salary will be commensurate with education and experience.

Funding Details : This is a restricted position, which is dependent on funding and is contingent upon funding availability.
Work Arrangement : This position is based in Charlottesville, VA, and must be performed fully on-site.
