Project Coordinator

The project:

Supporting the successful delivery of major aviation projects in a live airport environment, coordinating stakeholders, interfaces and operational integration. Embedded within the client organisation, the role enables safe and efficient transition from construction through testing, commissioning, operational readiness, activation and handover.

You’ll be responsible for:

- You will manage delivery from project inception/brief, through design development and planning, contractor procurement and construction phase in accordance with the overall delivery program and agreed project milestones.
- You will manage tasks and associated deliverables in support of the Associate Director and other senior leaders, alongside the wider project and client teams, to ensure the timely and accurate delivery of the project.

- You will manage design and wider consultant teams in a collaborative manner to ensure effective completion of responsibilities.
- You will lead and manage the project team and relevant stakeholders to achieve strategic project key performance indicators (KPIs).

Your responsibilities:

·        You will actively network, innovate, and seek understanding of best practice, utilising the full depth of knowledge of Mace Group, the Centres of Excellence, Mace Way Control Centre and Knowledge Hub.

·        Support the planning, execution, monitoring, and reporting of airport development and enhancement projects.

·        Coordinate project activities across multiple stakeholders to ensure alignment with programme objectives and operational requirements.

·        Maintain project trackers, action logs, risk registers, and decision registers.

·        Monitor progress against key milestones and support escalation of critical issues.

·        Prepare reports, dashboards, presentations, and management updates for senior stakeholders.

ORAT Coordination:

·        Support the implementation of Operational Readiness, Activation and Transition (ORAT) activities across project workstreams.

·        Coordinate operational readiness plans, trials, simulations, training, familiarisation exercises, and transition activities.

·        Ensure operational stakeholders are engaged throughout the project lifecycle and readiness requirements are incorporated into project delivery.

·        Support integration between construction, commissioning, testing, and operational activation programmes.

·        Facilitate readiness reviews and track operational readiness actions to closure.

Stakeholder Management:

·        Act as a central point of coordination between airport operations, airline representatives, government entities, consultants, contractors, and project teams.

·        Build and maintain effective relationships with key internal and external stakeholders.

·        Organise and facilitate stakeholder workshops, technical meetings, coordination forums, and operational readiness sessions.

·        Ensure actions, decisions, and stakeholder commitments are effectively tracked and managed.

Interface Management:

·        Coordinate interfaces between multiple project packages and operational stakeholders.

·        Identify interface risks and proactively facilitate resolution of potential conflicts.

·        Support alignment between construction activities and live operational constraints.

·        Coordinate approvals, reviews, and information exchanges between project participants.

Operational Integration & Handover:

·        Support development of transition and handover plans.

·        Coordinate testing, commissioning, operational acceptance, and handover activities.

·        Ensure operational documentation, training records, procedures, and readiness evidence are captured and maintained.

·        Support achievement of project activation milestones and successful operational commencement.

·        Successful transition of projects from delivery into live operations with minimal operational disruption.
