Founded in 1926, the Colonial Williamsburg Foundation is a private, not-for-profit educational, historic, and cultural institution that owns and operates one of the largest and best-known museum complexes in the world. Today, Colonial Williamsburg is the largest living history museum in the U.S. The Historic Area is the 301-acre restored colonial capital with 89 original buildings and 525 buildings reconstructed to how they appeared in the 18th century through extensive archaeological, architectural, and documentary research. The Historic Area is staffed by highly trained, historically dressed interpreters and expert tradespeople who bring the 18th century to life. The Foundation also owns and operates two world-class museums, the DeWitt Wallace Decorative Arts Museum, and the Abby Aldrich Rockefeller Folk Art Museum, The Bob and Marion Wilson Teacher Institute, and a renowned research library, the John D Rockefeller Jr Library.

Additionally, Colonial Williamsburg is home to five world class accommodations at the Williamsburg Inn, Williamsburg Lodge Autograph Collection, the Griffin Hotel, the Williamsburg Woodlands Hotels and Suites and the unique Colonial Houses in the Historical Area. Visitors may also indulge in food and drink at our many on-site restaurants and taverns that blend a historically inspired dining experience with todays evolved tastes. Each year over five million people visit Williamsburg and another 20 million engage with us digitally.

Main Duties

Responsibilities include but are not limited to:

- Plan Administration: Oversee the day-to-day operations for the health and welfare plans, retirement plans and other benefit offerings. Lead the resolution of complex benefits and data issues, ensuring accuracy, timely resolution, and effective plan administration.

- Data Analysis: Analyze benchmarking, market, utilization, and plan cost data to identify trends, opportunities for plan enhancements, cost efficiencies, and improved employee value. Actively participate in the annual benefits renewal process and provide data-driven recommendations that support the companys benefits and Total Rewards strategy.

- Compliance and Auditing: Assist with responses for annual audits (annual retirement plans financial reporting), ensure HIPAA, ERISA, ACA, DOL, IRS and COBRA compliance and maintain documentation needed for reporting and legislation requirements. Evaluate benefits requirements for remote employees working in multiple states and ensure programs and practices comply with applicable state and local regulations.

- Vendor Management: Act as a liaison with insurance carriers, brokers, and third-party administrators (TPAs), to monitor service level metrics and resolve escalated issues. Partner with vendors to address service concerns, improve processes, and ensure effective delivery of benefits programs.

- Benefits Administration: Responsible for benefits plan administration to include Health Insurance, Dental Insurance, Vision, Spending Accounts, Health Savings Accounts, Ancillary benefits, COBRA Administration, Wellness and EAP administration. Lead the administration and ongoing management of the employee tuition assistance program, including policy oversight, eligibility, employee guidance, and coordination with internal and external stakeholders. Leverage Human Resources Information Systems (HRIS) and establish and maintain current standard operating procedures for related benefits and invoicing processes in UKG/Workday.

- Employee Communications: Responsible for communicating benefits by writing, editing and finalizing Benefits marketing materials (Benefits Guide, Benefits in Brief, Benefits FAQs, Benefits Separation Fact Sheet, Welcome Day Benefits Presentation, etc.) Provide education, training sessions and presentations to existing and newly hired employees. Support Wellness Fairs. Oversee the planning, communication and system testing for the annual benefits enrollment. Ensures updates to the intranet and internet benefits websites. Supports the benefits strategy for monthly benefits content for webinars, posters, and other benefits marketing communications.

- Lead Analyst: Cross-train to provide support across the following areas of Benefits Administration: Retirement (401(k) and Pension) plan administration; Life Insurance (Basic, Supplemental, AD&D, Spousal, Dependent); Legal Resources; Leave Administration, including FMLA, LTD, STD, PTO, Unpaid Leaves, Paid Parental Leave, Military Leave, and Bereavement Leave; Employee Discounts; and Museum Reciprocal Benefits. Provide support and subject-matter expertise as needed, lead complex benefits processes and corrections, and deliver exceptional customer service to internal and external stakeholders.

- Process Improvement: Identify and implement improvements to benefit processes, utilizing HRIS systems (e.g., UKG, Workday) for data integrity.

Required Qualifications

- Bachelor's degree in Human Resources, Business Administration, Finance, or a related field, or equivalent combination of education and relevant experience.

- 5+ years of progressive experience in employee benefits administration, preferably in a corporate or similarly complex organization.

- Demonstrated experience administering health and welfare benefit plans, including medical, dental, vision, FSA/HSA, life and disability benefits, COBRA, and related programs.

- Experience working with HRIS/benefits administration systems, such as UKG, Workday, or comparable platforms.

- Experience managing relationships with benefit carriers, brokers, third-party administrators, and other vendors.

- Demonstrated experience researching and resolving complex benefits issues, eligibility discrepancies, data issues, and escalated employee inquiries.

- Working knowledge of ERISA, HIPAA, ACA, COBRA, DOL, and IRS requirements applicable to employee benefit plans.

- Knowledge of benefits administration practices and requirements across multiple states, including applicable state and local regulations.

- Ability to analyze benefits utilization, cost, benchmarking, and other plan data and translate findings into actionable recommendations.

- Experience supporting annual benefits renewal and/or open enrollment processes.

- Strong proficiency with Microsoft Excel and the ability to work with and analyze benefits and employee data.

- Strong written and verbal communication skills, with the ability to explain complex benefits information clearly to employees and stakeholders.

- Demonstrated ability to manage multiple priorities, deadlines, vendors, and complex issues with a high degree of accuracy and confidentiality.

Preferred Qualifications

- 7+ years of employee benefits experience in a complex, multi-state organization.

- Experience with UKG and/or Workday, particularly benefits administration, eligibility, reporting, invoicing, or related functionality.

- Experience supporting 401(k), pension, or other retirement plan administration.

- Experience with FMLA, STD, LTD, PTO, parental, military, and other leave programs.

- Experience with annual benefits renewals, plan design, vendor negotiations, or benefits strategy.

- Experience conducting benefits benchmarking, utilization analysis, financial analysis, or cost modeling.

- Experience supporting or coordinating retirement plan audits and annual financial reporting.

- Experience developing and delivering employee benefits communications, presentations, training, and enrollment materials.

- Experience managing or improving benefits-related HRIS processes, workflows, data integrations, and reporting.

- Professional certification such as CEBS, SHRM-CP/SCP, PHR/SPHR, or equivalent.

- Experience administering benefits for a multi-state or geographically dispersed workforce.

- Experience leading cross-functional benefits projects or serving as a subject-matter expert.

Compensation Disclaimer: The compensation listed below for this position represents the anticipated hiring range and is provided in accordance with Virginia pay transparency requirements. Actual compensation will be determined based on factors such as the selected candidates skills, qualifications, experience, education, certifications, internal equity, and the specific requirements of the role.

Range: $90,000 - $115,000/year
