About this role

The Purchasing Agent I is responsible for all procurement and purchasing activities on assigned projects.

ESSENTIAL JOB FUNCTIONS:

- Purchases the highest quality merchandise at the lowest possible price

- Prepares and manages order requests & purchase orders in purchasing software

Helps solicit bid proposals and review all staff order requisitions for goods and services

- Updates and maintains user profiles, undelivered orders, returns & request for refunds

- Sets up new ship-to accounts for punchout vendors

- Manages the internal electronic catalog

- Works with graphics dept and vendors on NEMS specialty orders

- Works with staff and vendors on defective or unacceptable goods and determine corrective action

- Troubleshoots software issues with the software tech support, when needed

- Researches and evaluates suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier’s reputation and history

- Works with the Accounting department on invoice discrepancies

- Manages return of expired vaccines to manufacturers, for account credit.

- Runs open order reports monthly (or bi-weekly if necessary) and email staff to complete order receiving’s on delivered items, into our purchasing software.

- Assists the Purchasing Agent II or Purchasing Manager in negotiations, renewals, and administration of contracts with suppliers, vendors, and other representatives

- Maintains computerized procurement records; conducts one-on-one training on our procurement software

- Maintains communication and working relationships with vendors

- Assists with any special projects, as assigned.

- Must be able to lift packages up to 20 lbs

- Performs other job duties as required by manager/supervisor

Qualifications

QUALIFICATIONS:

- Completion of a high school diploma or equivalent

- Must be proficient in computers and ability to learn new applications

- Excellent communication, organizational and budgeting skills

- Demonstrated skills in problem identification, analysis, and resolution

- Detail oriented with a strong emphasis on accuracy and timelines

- Prior experience purchasing is a plus

LANGUAGE:

- Must be able to read, write and speak English fluently

- The ability to speak a second language is an asset

STATUS:

- This is an FLSA non-exempt position.

- This is not an OSHA high-risk position.
