Key Responsibilities

- Executive Support: Proactively manage calendars for ExCom members, including scheduling appointments, planning meetings, juggling priorities, and resolving scheduling roadblocks.

- Travel & Expenses: Coordinate complex domestic and international travel arrangements and manage expense reports for the ExCom members; oversee executive subscriptions and tools.

- Strategic Priority Alignment: Partner closely with the ExCom to ensure key business objectives, revenue priorities, and executive commitments are met.

- Meeting & Event Logistics: Arrange and handle logistics for ExCom meetings, revenue reviews, board interactions, and other strategic leadership sessions.

- Triage & Stakeholder Management: Review incoming requests, filter priorities requiring the ExCom’s input, and professionally represent the company to external stakeholders (customers, partners, board members, investors).

- Cross-Functional Project Support: Help coordinate corporate and commercial projects, manage sensitive business information, and ensure smooth cross-departmental communication.

- Office & Operational Coordination: Support local office operations in Kuala Lumpur as needed, including handling executive visitors, logistics, and coordination with global offices.

Required Qualifications

- 5+ years of experience supporting C-level or VP-level executives in a fast-paced environment (start-up or scale-up experience strongly preferred).

- High level of work ethics, integrity, discretion, and flexibility, with a proven ability to handle highly confidential commercial and strategic data.

- Fluency in English with strong written and verbal communication skills; ability to handle light translation if required.

- Highly organized with exceptional multi-tasking skills and the ability to prioritize demanding workloads across multiple executive stakeholders.

- Detail-oriented and proactive with demonstrated experience managing complex calendar dynamics and international travel/visa coordination.

- Strong interpersonal skills with a proven track record of building relationships across departments to drive results.

- Proficient with Google Workspace / Office suite and modern productivity tools.
