About this role

Be the person who keeps a major real estate development moving by making sure the right information reaches the right people at the right time. In this role, you will run the project’s electronic document management system and set the standards that keep drawings, contracts, reports and correspondence controlled and audit-ready. You will work at the center of a large project team—consultants, contractors and client stakeholders—where your accuracy and judgement directly support delivery. As a Document Controller in Project Delivery, you will own the day-to-day administration and governance of the project’s electronic document system, the single source of truth for project documentation. You will ensure documents are captured, version-controlled, quality-checked, and distributed in line with agreed standards across the full project lifecycle (design, construction, and handover). You will partner with project leadership and delivery teams to keep information flowing, reduce risk, and support key milestones.

Job responsibilities

- Own the project’s electronic document system as the authoritative system of record for all project documentation.
- Configure and maintain document structures, metadata, naming and numbering standards, permissions, and workflows.
- Administer user access, including onboarding/offboarding for client, consultants, contractors, and supply chain.
- Coordinate with the system vendor and internal technology teams on upgrades, integrations, and incident resolution.
- Develop and enforce the project’s document control procedures and information delivery standards (aligned to ISO 19650 where applicable).
- Quality-check incoming and outgoing documents for compliance (naming, metadata, revision, status, and suitability) before publication.
- Control revisions and version history, ensuring superseded documents are archived and current status is clear.
- Manage review and approval workflows, including technical queries, information requests, submittals, drawing issues, and change notices.
- Issue and track formal transmittals and responses, and chase overdue actions to maintain momentum.
- Produce and circulate regular status reports, overdue registers, and key performance indicators for project leadership.
- Assemble and verify milestone and handover document packs, including operations and maintenance deliverables at completion.

Required qualifications, capabilities, and skills

- Solid work experience in document control on major construction, infrastructure, or commercial real estate projects.
- Experience supporting at least one project valued above £250m.
- Expert administrator/super-user of an electronic document system/common data environment (for example Aconex, Asite, Procore, Autodesk Construction Cloud, Viewpoint for Projects, or similar).
- Strong working knowledge of ISO 19650 information management principles, including status and suitability workflows.
- Demonstrated experience configuring workflows, metadata, numbering systems, and permission models within a document system.
- Advanced proficiency in Microsoft 365 (Excel, SharePoint, Teams, Outlook), including managing large registers/data sets.
- Proven ability to maintain accurate, audit-ready records and clear document trails under time pressure.
- Strong written and verbal communication skills, with confidence to challenge non-compliant submissions appropriately.
- High attention to detail, strong numeracy, and disciplined follow-through.
- Ability to handle sensitive and confidential information with appropriate judgement and controls.
- Right to work in the UK and ability to work 5 days per week in the London office.

Preferred qualifications, capabilities, and skills

- Experience on a commercial real estate mega-project (mixed-use, prime office, or large-scale regeneration).
- Familiarity with building information modeling environments and document/model coordination interfaces.
- Exposure to NEC and/or JCT contract administration documentation.
- Experience preparing structured digital handover and asset information packs for owners/operators.
- Working knowledge of GDPR and information security standards (for example ISO 27001).
- Degree/HND (or equivalent) in information management, construction, engineering, architecture, business, or a related field.
- Formal training/certification in document control or ISO 19650 (and/or vendor certification for the chosen system).
