Job Title: Logistics Clerk Job Description
The Logistics Clerk provides comprehensive administrative and operational support to the Global Logistics department, focusing on domestic inbound and outbound shipments. This role works closely with internal teams and external partners to manage order data, coordinate shipments, and support cost-effective, on-time delivery. Responsibilities
- Work within Transportation Management System (TMS) and Enterprise Resource Planning (ERP) systems to look up, manage, and analyze customer sales order data to determine appropriate shipping modes for outbound full-truck and container orders.
- Process logistics files, container sizing specifications, UPS shipments, and export quotes accurately and on time.
- Post EU EDC shipments, track imports, and monitor EDC-related costs to support accurate reporting and cost control.
- Perform general order entry and track inbound supplier shipments to ensure timely delivery and accurate records.
- Assist with yearly audit tasks by gathering documentation, verifying data, and supporting compliance requirements.
- Schedule order pick-ups with carriers, maintain an up-to-date shipping schedule, and collaborate with the Shipping team to complete daily shipments efficiently.
- Schedule weekly inbound truck shipments from suppliers based on provided product information and prepare daily inbound shipment updates for the Purchasing team.
- Respond quickly to requests for expedited shipments by selecting appropriate shipping modes and transit times that meet customer needs and internal guidelines.
- Prepare freight quotes for internal and external customers and proactively identify opportunities to reduce freight costs.
- Support Domestic Customer Service with freight quoting, tracking customer shipments, managing order pick-up requests, and resolving miscellaneous logistics inquiries.
- Audit and code carrier freight invoices before submitting them to Finance, investigate discrepancies, escalate issues when necessary, and follow up on past-due invoices.
- Collaborate with carriers to resolve billing errors and ensure accurate and timely payment processing.
- Maintain confidentiality of sensitive information and materials while consistently meeting established quality and productivity standards.
- Learn new tasks and software applications as needed and follow written and verbal instructions accurately.
- Troubleshoot logistics and administrative issues as they arise and contribute to process improvements where appropriate.
Essential Skills
- Up to 1 year of relevant experience in an administrative, logistics, transportation, or customer service role, preferably in a fast-paced environment.
- Experience with order entry, ideally within logistics or international shipping operations.
- Proficiency using various Microsoft Office applications, including the ability to create spreadsheets and reports.
- Ability to be trained on new software applications, including Transportation Management System (TMS) and Enterprise Resource Planning (ERP) systems.
- General math skills sufficient to support freight calculations, cost tracking, and invoice auditing.
- Strong data entry skills with demonstrated keyboarding accuracy and efficiency and the ability to proofread for errors effectively.
- Ability to prioritize tasks, manage time efficiently, and handle multiple responsibilities simultaneously.
- Demonstrated ability to communicate professionally, both verbally and in writing, with internal and external customers.
- Ability to learn new tasks quickly and follow written and verbal instructions accurately.
- Ability to troubleshoot problems independently and escalate issues appropriately when needed.
- Demonstrated ability to understand and maintain confidentiality of information and materials.
- Attention to detail in working with freight bills, shipment documentation, and logistics records.
Additional Skills & Qualifications
- Experience in the transportation industry or in customer service within a fast-paced administrative environment is preferred.
- Familiarity with logistics processes such as domestic inbound and outbound shipments, freight quoting, and shipment tracking.
- Experience working with freight bills and carrier invoices, including auditing and coding for finance processing.
- Exposure to international shipping, export documentation, or working with export specialists and trade compliance professionals is a plus.
- Ability to collaborate effectively with cross-functional teams, including Shipping, Purchasing, Customer Service, and Finance.
- Strong organizational skills and the ability to maintain accurate records and schedules.
- Interest in developing a career in logistics within a growing organization that offers training and advancement opportunities.
Work Environment
This role is based in an office environment with regular interaction with the warehouse floor as needed to support logistics operations. The position follows a hybrid schedule after training, with on-site work from Tuesday through Thursday and remote work on Monday and Friday. Typical start times are either 7:00 a.m. or 7:30 a.m., providing some flexibility within an early-day schedule. The role supports a dedicated logistics team, including export specialists, a trade compliance analyst, and a global logistics specialist, within a headquarters setting for a large dental equipment manufacturer. This is a Contract to Hire position based out of Newberg, OR.
Pay and Benefits
The pay range for this position is $22.60 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
