About this role
We are looking for a strategic, highly proactive, and deeply trusted Executive Administrative Business Partner 2 (EABP 2) to join our Finance team. This EABP 2 will support the VP of Finance, Mid-Market & US Sales, along with the Director of Mid-Market Finance and the Finance Director of Small Business & QuickBooks Online (QBO) Marketing. This is a senior partnership role, not a transactional support role — success depends on the judgment to act with the same instincts and priorities as the leaders you support, even when they are not in the room.
The ideal candidate earns trust quickly and keeps it: someone who can absorb how their leaders think, anticipate what they'd want done, and exercise sound, independent judgment on their behalf. Excellent communication — written, verbal, and in reading a room — is essential, as this person will represent the leadership team across a highly matrixed organization. You'll also be a core member of a broader team of EABPs, sharing coverage, best practices, and a strong sense of “we've got each other's backs.” This role is hybrid, minimum 3 days a week from our Mountain View office.
Responsibilities
- Multi-Leader Partnership: Support three leaders — the VP of Finance, Mid-Market & US Sales, and two Directors — balancing and prioritizing competing needs without letting anything drop.
- Trust & Judgment: Learn how your leaders think and prioritize, and use that judgment to make sound calls on their behalf — knowing when to act independently and when to check in first.
- Excellent Communication: Communicate clearly, credibly, and with the right tone at every level of the organization, from peers to senior executives, customers, and external partners.
- Connecting the Dots: Act as a central hub for information, anticipating and balancing the needs of multiple stakeholders across the business and functional groups.
- Calendar & Meeting Optimization: Manage complex executive calendars strategically rather than transactionally — qualify requests, proactively solicit agendas, and orchestrate alignment across diverse teams.
- Gatekeeping & Time Protection: Act as a proactive gatekeeper for time and priorities — protecting focus time by default, while knowing when something is important enough to warrant flexing the plan.
- Travel Coordination: Coordinate domestic and international travel arrangements, itineraries, and logistics, exercising good judgment to keep plans efficient and cost-appropriate.
- Expense Judgment: Exercise sound, independent judgment when incurring or approving expenses on behalf of leadership — no formal budget management required, but consistently making cost-conscious calls.
- Onsite/Offsite Planning: Support planning and logistics for occasional team onsites and offsites, from venue and agenda coordination to on-the-ground execution.
- Team Collaboration: Be a genuine team player within the EABP community — provide backup coverage for peers, share knowledge and templates, and contribute to team huddles and syncs that keep the group aligned.
- Strategic Collaboration: Share independent ideas, negotiate, and align on shared commitments with leaders and peers across diverse, matrixed stakeholders.
- Problem Navigation: Proactively navigate organizational bottlenecks, presenting creative, acceptable alternatives that satisfy broader business needs.
- Culture & Inclusivity: Inspire a strong sense of belonging, inclusivity, and morale through open dialogue, active consideration of diverse perspectives, and strong peer collaboration.
- Contextual Understanding: Maintain an active pulse on the organization's vision, strategy, priorities, and products — staying two steps ahead of leadership needs.

- Executive Presence & Discretion: Maintain complete discretion and 100% integrity when handling highly confidential financial and business data, serving as a trusted advisor to the leadership team.
- Process Optimization: Advise team members on applicable policies and procedures, and create scalable templates to elevate daily operations.
- Tech Adaptation: Seamlessly adapt to and champion new technologies (including GenAI, advanced collaboration platforms, web conferencing, and HR tools) to drive modern, efficient ways of working.
Qualifications
- Minimum of 5 years working at the executive administrative level, preferably supporting VP-level or senior staff members.
- A demonstrated track record of being trusted with sensitive information and high-stakes decisions — able to build rapport quickly and exercise good judgment independently.
- Detail-oriented and comfortable double-checking facts, figures, and materials before they reach leadership — no deep financial or business background required, just a habit of verifying rather than assuming.
- Highly organized and proactive, with the instincts of a strong gatekeeper — able to protect a leader's time and priorities while reading when a situation calls for flexibility.
- Ability to exercise complete discretion and handle highly confidential information with 100% integrity.
- Outstanding verbal and written communication skills, with the ability to adjust tone and message for any audience, from EABP peers to senior executives.
- A strong team player who contributes to a collaborative EABP community — willing to provide backup coverage and share knowledge with peers.
