THE POSITION
The Medical Services Manager is responsible for the administrative and project management backbone of the Medical Services area for the FIFA Women’s World Cup 2027™. The role ensures that all medical workstreams progress on schedule, with documentation, processes, budget and procurement under control, allowing the medical leadership (Senior Medical Services Manager, General Medical Officer and Venue Medical Officers) to focus on clinical and operational delivery.
The position is the area’s integration point with FIFA27 corporate systems and processes (WeTrack, SharePoint, Monday.com, Workforce, Procurement, Finance) and the administrative point of contact for the Venue Medical Officers across the eight host cities: Belo Horizonte, Brasília, Fortaleza, Porto Alegre, Recife, Rio de Janeiro, Salvador and São Paulo.
The scope covers the full project cycle: planning and preparation, special events (Final Draw, Team Seminars, Play-off), site inspections, the tournament period and administrative close-out.
A healthcare background is not required. We are looking for a project management and administration profile from a major events environment, with strong command of processes, tools and organization.
Project Management & Area PMO
- Maintain the area master plan (Medical Operations Master Plan) up to date: schedule, milestones, dependencies and deliverables catalogue for all workstreams of the area
- Track the progress of each deliverable against FIFA milestones, flag deviations early and propose recovery plans
- Manage the area’s issues log, risk register and decision log, and drive the follow-up of actions through to closure
- Prepare the area’s periodic meetings (FIFA Medical, GMO, VMOs and functional areas): agenda, materials, minutes and action tracking
- Consolidate status reporting for the Senior Medical Services Manager, the GMO and FIFA governance structures
Processes, Systems & Document Governance
- Act as the area’s operational owner in WeTrack: plans, tasks, risks and milestones, ensuring the system reflects the actual project status
- Manage the area’s document library in SharePoint: folder structure, naming conventions, version control, approval workflow (Proposed, Consolidated, Endorsed) and confidentiality
- Ensure the official flow of deliverables: final version exported, published on SharePoint and reflected in WeTrack and Monday.com
- Complete and maintain FIFA corporate templates and forms (FAOP, VUM, Core Services, RFx, Workforce Plan) within cross-functional deadlines
- Standardise the area’s templates, checklists and operating procedures (inspections, activation flows, reports), aligned with the FIFA Medical Handbook
- Support the rollout and maintenance of the area’s digital tools (inspection app, control dashboards, daily reporting system)
Administration, Procurement & Budget
- Lead the administrative side of medical services procurement (RFI, RFP, quotations): timeline, supplier list, Q&A consolidation, comparison matrix and documentation for Procurement and Legal
- Monitor contracts with designated hospitals, ambulance providers, equipment and medical service suppliers: deadlines, deliverables, service measurement and invoicing
- Support the area’s budget control: quarterly forecast, actual versus plan, purchase requests and reconciliation with Finance
- Organize the administrative logistics of site inspections and travel (schedule, flights, accommodation, accreditation, reports)
- Support Workforce on the area’s processes: workforce plan, onboarding, accreditation, uniforms and mandatory training
Host City & VMO Support
- Act as the administrative point of contact for VMOs across the eight host cities and Team Base Camp cities: requests, deadlines, templates, system access and information
- Keep the Master Hospital Panel and the VMO matrix up to date (inventory, contacts, approval status, priority access pathways) with information provided by the host cities
- Coordinate the collection and consolidation of host city data (medical posts, opening hours, hotel and TBC addresses, emergency contacts)
- Organize the schedule and documentation of medical inspections at stadiums, TBCs, hotels and special event sites
Tournament Operations & Special Events
- Support the administrative preparation of special events (Final Draw, Team Seminars, Play-off) and of the tournament period: plans, rosters, materials, accreditation and communication
- During the tournament, run the area’s administrative cell at HQ: consolidation of daily venue reporting, roster and attendance control, incident logging and support to venue Medical Coordinators
- Coordinate the area’s administrative communication with functional areas (Safety & Security, Competition, Guest Operations, Technology, Workforce, Team Services)
Reporting, Close-out & Legacy
- Maintain the area’s dashboards and KPIs (status by workstream, inspections, open issues, procurement)
- Prepare reports, presentations and materials for meetings with FIFA Zurich and cross-functional areas, in the required template and language
- Lead the area’s administrative close-out: contract closure, document archiving, post-event report and lessons learned
YOUR PROFILE
Required
- Bachelor’s degree in Business Administration, Engineering, Project Management, Economics or a related field
- Solid experience in project management, PMO or administrative coordination, ideally within major events, sport or multi-stakeholder projects
- Fluent in English and Portuguese (written and spoken); Spanish is an advantage
- Advanced Excel and MS Office skills (Word, PowerPoint, Project); experience with planning and collaboration tools (SharePoint, Monday.com, Teams, WeTrack or similar)
- Experience with procurement processes, budget control and contract management
- Experience with document governance: version control, approval workflows and executive reporting
- Availability for frequent domestic travel and flexible working hours during peak periods (special events and tournament)
Desirable
- Project management certification (PMP, CAPM, PRINCE2 or equivalent)
- Previous experience in FIFA tournaments, Olympic events or other major international events
- Knowledge of the healthcare sector, medical services or hospital operations
- Experience with Power BI or other data visualization tools
- Experience in multicultural environments and geographically distributed teams
