Job Overview
A premier financial services firm located in Parsippany, NJ is seeking a detail-oriented Administrative Assistant to support daily client operations, maintain CRM data integrity, and streamline internal workflows.
This role bridges day-to-day administrative operations and system administration. The ideal candidate brings 1–3 years of hands-on Salesforce user/admin experience, high attention to detail, and a firm grasp of financial services operational workflows.
Key Responsibilities
Salesforce & Data Management
Maintain user accounts, roles, profiles, permission sets, and security settings within Salesforce CRM.
Manage daily data entry, account setup, client record updates, and data clean-ups to ensure high data integrity.
Build, customize, and schedule reports and dashboards for leadership and advisory teams.
Assist with basic process automation, standard workflows, and page layout updates.
Serve as the first line of internal support for team members troubleshooting system issues or access requests.
Administrative & Financial Operations
Provide operational support for financial advisors, wealth managers, or client services teams.
Process client documentation, onboarding materials, and compliance forms in adherence to industry regulations.
Organize and archive electronic client files, tracking status through to completion.
Assist in preparing client meeting decks, account summaries, and quarterly reporting materials.
Coordinate cross-departmental communications and execute routine office administrative tasks as assigned.
Qualifications & Requirements
Experience: 1–3 years of administrative or operations experience within financial services, banking, or wealth management.
Technical Skills: Hands-on experience administering or managing data within Salesforce (Sales Cloud, Financial Services Cloud, or Service Cloud).
Certifications: Salesforce Certified Administrator is a plus, but relevant hands-on production experience is preferred.
Software Proficiency: Strong knowledge of Microsoft Office Suite (Excel, Word, Outlook) and financial software platforms.
Skills: Exceptional attention to detail, strong verbal/written communication, and problem-solving abilities.
Education: Associate’s or Bachelor’s degree in Business, Finance, or a related field preferred.
