POSITION SUMMARY

This job involves a combination administrative duites and tasks.   Here is a sample of some of the job duties.  You are strongly encouraged to read this section carefully, to be certain this job meets your expectations.

- Assists the President/CEO in board related matters including; notice of meetings, preparation of the monthly board report, and generally assisting board members as needed.

- Receives and routes incoming mail directed to the President/CEO and senior management.

- Plans and scheduled meeting to include meals when necessary.

- Greets visitors, ascertains nature of business, and directs visitor to appropriate place.

- Prepares meeting minutes and distributes correspondence to senior managers and Board of Directors, as directed by the CEO.

- Arranges travel schedule and reservations for senior management.  Prepares travel files and monitors travel expenses/budgets.

- Maintains administrative files such as ALCO, vendor contracts and information, exam and audit information, CEO Board/Committee activities.

- Assists the marketing department with special events, including being present at events and representing the credit union to the community

- Orders supplies as needed, and ensures supply inventory is adequate and costs are controlled.

- Manages or assists with special projects as assigned.

- Performs such other functions that might be needed from time to time, and assists others to complete tasks and work assignments.

This Administative Assistant must be organized, flexible and enjoy the challenges of supporting a small group of fast-paced executives.  The ability to interact with staff in an ever-changing environment, often under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.

REQUIRED QUALIFICATIONS:

- Ability to maintain strict protocol and confidentiality and consistently exhibit a professional image

- Experience working in a professional office environment, working on projects and meeting strict deadlines

- Demonstrated advanced proficiency in Microsoft Excel, Word, and Powerpoint, along with general proficiency with other mainstream productivity software applications (Excel and Word testing performed before hiring)

- Must possess strong communication skills and be d etail oriented and thorough, and always punctual

- Exceptional written & verbal communication skills; ability to multi-task, anticipate, and prioritize, without incurring excessive personal stress

- Proactive self-starter with excellent follow-up and time management skills; must be a team player and willing to jump in and assist where needed without being asked

- Self-motivated with the ability to work independently and efficiently with very little direction

- Capable of handling fast-paced, innovative, and constantly changing environment, and interacting with a wide variety of people with diverse personalities

- Positive and energetic attitude and disposition, even in the face of adversity and conflict

PREFERRED QUALIFICATIONS:

- 3 - 5 years of experience in a fast-paced organization, with increasing levels of responsibility

- Experience supervising one or more employees

- Bachelor’s degree in business or communications
