The role
Due to continued investment across GPT’s portfolio, we are seeking an experienced Capital Works Coordinator to support our National Capital team who are responsible for the delivery of operational and leasing capital works projects across GPT managed assets.
Based in our Sydney office, the Capital Works Co-ordinator will play a pivotal role in the maintaining the Capital Management framework for the National Capital Team.
This role is the responsible for maintaining and continuous improvement of the Capital Works Project Management Office (PMO) acting as the central hub for project governance, systems and controls across the National Capital programme.
What you will be doing
- Maintaining, improving and embedding the Capital Works PMO framework, including templates, process guides, checklists and workflows across the business ensuring consistency regardless of asset class or project type
- Coordinating the compilation and execution of contracts, ensuring correct preparation and execution via our systems on behalf of the Capital Works Managers and ongoing tracking of key dates, expiry milestones and execution status of Contracts and insurance compliance
- Managing the purchase order and invoicing process and the Capital Works financial tracking framework ensuring accuracy and alignment between systems, identifying and resolving discrepancies
- Managing the shared Capital Works calendar, tracking milestones, team leave and key dates and providing administrative coverage across the team during leave periods
- Managing the vendor onboarding process and register through systems, coordinating registration, insurance verification and Cyber Security assessments for the Capital Works Managers
- Managing the Capital Managers onboarding and serving as the key point of contact for systems queries, providing guidance and escalating any technical issues to IT, as well as develop and maintain systems training materials, delivering induction training to new team members and External Project Managers as required.
- Acting as the central coordination point for the Capital Works team, managing information flow between Project Managers and other areas of the business, and assist National Capital Works Managers with tasks and action management
- Coordinating Peer Groups and team activities, preparing presentation materials, reports for senior leadership and managing logistics
- Facilitating lessons learned sessions at project closure, documenting outcomes and implementing agreed process improvements, updating templates and documentation accordingly
- Coordinating project closure activities, ensuring as-built documentation, financial close-out, capitalisation and lessons learned are completed in accordance with policy

The successful candidate will be a proactive, commercially aware individual with demonstrated experience in supporting teams, a strong project coordination and PMO capability, who can operate autonomy, manage competing priorities and drive outcomes across a team of internal and external Project Managers.
Proficient in the Microsoft Office suite, you will be highly organised and a self-motivated individual who is confident, flexible, approachable and can work both autonomously and as part of a team.
Essential skills for success in this role include time management, strong verbal and written communication, attention to detail, financial acumen and the ability to quickly learn new systems and processes.
