Overview
Blaze Heating, Cooling, Electrical & Plumbing - Triangle is seeking a highly organized and detail-oriented Permit Coordinator to support our growing HVAC, Plumbing, Electrical, Generator, and Drain operations. This position serves a critical role in ensuring permits are obtained accurately and timely, inspections are scheduled and completed, and projects move smoothly from sale to completion.

Position Summary
The Permit Coordinator is responsible for obtaining permits, scheduling inspections, maintaining permit records, and communicating with municipalities and utility providers. This role works closely with Operations Managers, Install Managers, Customer Service Representatives, and field technicians to ensure projects remain compliant and on schedule.
The ideal candidate is organized, proactive, customer-focused, and capable of managing multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
Permit Administration
- Obtain permits from local municipalities and regulatory agencies.
- Submit permit applications and supporting documentation accurately and timely.
- Track permit approval status and proactively follow up when necessary.
- Schedule required inspections with municipalities and utility providers.
- Coordinate permit revisions and corrections when required.
- Maintain accurate permit records and documentation.
- Ensure all permit-related information is entered and maintained within company software systems.
- Monitor permit timelines and communicate project updates to management and field teams.
- Assist with project closeout documentation and final permit approvals.
- Maintain compliance with local permitting requirements and regulations.
Administrative Support
- Communicate with customers regarding permit and inspection schedules.
- Provide administrative support to Operations and Installation teams.
- Maintain organized electronic and physical files.
- Assist with reporting and data entry as needed.
- Coordinate with utility companies regarding electrical disconnects and reconnects when applicable.
Preferred Additional Responsibilities
Candidates with experience in these areas may provide additional support:
- Assisting with scheduling technicians and installers.
- Supporting dispatch operations during high-volume periods.
- Managing technician calendars and inspection scheduling.
- Utilizing ServiceTitan to update job information, schedules, and customer records.
Required Qualifications
- High School Diploma or GED.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Strong attention to detail.
- Ability to prioritize competing tasks and deadlines.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Professional demeanor when communicating with customers, municipalities, and coworkers.
Preferred Qualifications
While not required, the following experience is highly desirable:
- Previous permit coordination experience.
- Experience in HVAC, Plumbing, Electrical, Construction, Roofing, or Home Services industries.
- Experience scheduling inspections with municipalities.
- Dispatching or scheduling experience.
- Experience using ServiceTitan.
- Familiarity with Wake County and surrounding municipal permit processes.
- Experience coordinating utility disconnects and reconnects.
- Knowledge of residential construction terminology and project workflows.
