Job Description

We are seeking a well-organized, diligent, and detail-oriented program governance coordinator ideally with experience working in a major program environment. The Program Governance Coordinator supports effective governance, meeting coordination, reporting, process compliance, and forward planning for Executive decision-making. This position is key to ensuring that Executive meetings are properly coordinated and administrated and that the various program teams and business units remain aligned on outcomes and action items. Key responsibilities include:

- Working with Program Directors, Subject Matter Experts, and other senior level team members to organize and quality check content for regular governance forums, ensuring that recommendations are clearly articulated and that outcomes and action items are captured accurately.

- Working with key stakeholders to forward plan meeting agendas in-line with the needs of the program and that decision-points are properly identified and documented.

- Providing the link between individual governance forums to ensure that common themes, discussion points, and action items are effectively tracked and communicated.

- Supporting routine reporting by tracking key metrics, decisions, and action items to feed into executive dashboards and reports.

- Administrates document storage and electronic approval packages using SharePoint and Adobe e-sign.

- Supports continuous improvement processes and procedures with respect to effective governance and maintains accurate records to support compliance and auditability.

Qualifications

- 3+ years of experience in governance, project coordination, program administration, or a similar role.
- Experience supporting executive committees, governance forums, or senior leadership teams.
- Strong organizational, communication, and stakeholder management skills.
- Experience coordinating meeting materials, agendas, minutes, and action item tracking.
- Proficiency with Microsoft Office Suite, SharePoint, and Adobe e-sign.
- Experience with reporting, document management, and records management.
- Ability to manage multiple priorities and maintain a high level of accuracy and attention to detail.
- Post-secondary education in Business, Project Management, or a related field preferred.
- Experience in a large program, infrastructure, or capital project environment is an asset.
