Job Description
As a Program Coordinator, Technology Services, in the Office of the Deputy Chief Technology Officer (DCTO), you will coordinate and support executive priorities, strategic initiatives and division-wide activities across Enterprise Services and Operations and the broader Technology Services Division. You will conduct research and analysis, identify and monitor emerging issues, coordinate projects and cross-functional activities, and prepare briefing materials and recommended courses of action for senior management.
Working closely with the DCTO, Program Manager, Directors, managers, project teams and corporate partners, you will help translate priorities into coordinated action by tracking commitments, facilitating stakeholder input, identifying issues requiring attention and ensuring timely follow-through. You will also support the effective administration of the DCTO Office, requiring sound judgement, discretion, strong organization and attention to detail.
What will you do?
- Coordinate DCTO office priorities, work plans and strategic initiatives, including timelines, milestones, dependencies, risks, decisions, action items and follow-up.
- Lead and coordinate assigned projects and initiatives, including planning, stakeholder coordination, monitoring progress, identifying issues and reporting on outcomes.
- Conduct research and analysis on assigned topics, taking into account developments in the field, corporate policies and practices, legislation and initiatives from other levels of government.
- Support issues management by gathering and analyzing information, identifying gaps, coordinating responses and escalating urgent or sensitive matters for management attention.
- Prepare and coordinate briefing notes, presentations, dashboards, correspondence, speaking notes, meeting materials and other executive-level materials.
- Compile and analyze information to support executive reporting, performance tracking, service improvement and decision-making.
- Coordinate leadership, governance and stakeholder meetings, including agendas, materials, decisions, action items and follow-up.
- Act as a central point of contact for assigned requests and initiatives, coordinating input across Technology Services, City divisions and other partners.
- Coordinate consultation and engagement activities and represent the DCTO Office at meetings, workshops and events, as assigned.
- Support budget and expenditure tracking for assigned programs or initiatives and maintain accurate, secure records and centralized resources.
- Handle confidential and sensitive information with discretion and support the effective administration of the DCTO Office.
- Identify process gaps, recommend practical improvements and support the implementation of approved procedures and administrative standards.
- Ensure work is undertaken in a manner that complies with and supports City compliance with the Ontario Occupational Health and Safety Act, other relevant codes and regulations, and City policies.
Key Qualifications:
- Post-secondary education in public administration, business administration, communications, public policy, project management, information technology or a related discipline, or an equivalent combination of education and experience.
- Considerable experience coordinating programs, projects, initiatives or operational activities in a complex, multi-stakeholder environment, including supporting planning, implementation, monitoring and follow-up.
- Considerable experience preparing, editing and proofreading briefing materials, reports, presentations, correspondence and other communications for senior leaders and varied audiences.
- Experience conducting research and analyzing information to support issues management, policy, program, operational or service-improvement initiatives.
- Experience providing coordination and advisory support to senior management, including governance activities, stakeholder coordination, executive reporting and/or divisional initiatives.
- Strong organizational and time-management skills, with the ability to manage multiple priorities, track commitments, meet deadlines and maintain accuracy and attention to detail.
- Excellent written and verbal communication skills, with the ability to present complex information clearly and concisely.
- Excellent interpersonal and collaboration skills, with the ability to work effectively with senior management, staff, City divisions, corporate partners and external stakeholders.
- Demonstrated sound judgement, initiative, professionalism and discretion, with the ability to identify issues, determine appropriate next steps, coordinate follow-up and escalate matters requiring management attention.
- Proficiency using Microsoft Word, Excel, PowerPoint, Outlook, Teams and SharePoint, as well as trackers, dashboards or comparable collaboration and reporting tools.
- Ability to work independently and adapt to changing priorities in a fast-paced executive-office environment.
