Job Title: Order Entry Administrator Job Description
We are seeking a detail-oriented and reliable Order Entry Administrator to support our day-to-day operations involving order entry, customer communication, and pricing coordination. This interactive role involves direct communication with customers via phone and email while managing internal systems and order workflows.
Responsibilities
- Serve as a point of contact for customers via phone and email.
- Answer incoming calls, route inquiries appropriately, and provide timely follow-up.
- Communicate with customers on order status, pricing updates, and shipping timelines.
- Take and process customer orders (both verbal and written).
- Enter and manage orders within the ERP system.
- Handle custom order formulations, gathering necessary input details.
- Ensure accuracy and completeness of all order entries.
- Assist with pricing communication and updates.
- Look up material costs and input into spreadsheets to support cost calculations.
- Review and adjust pricing as needed (approximately 50% of orders require pricing review).
- Support new customer setup and pricing structures.
- Coordinate with freight carriers to schedule shipments and track delivery status.
- Communicate shipping updates to customers as needed.
- Monitor and manage freight expenses.
- Generate and send invoices to customers, ensuring timely delivery and organize documentation.
- Perform scanning, filing, and general administrative tasks.
- Support transition from paper-based filing to more digital processes.
- Run basic daily reports (system-driven, minimal manual effort).
- Navigate multiple systems to support order processing and tracking.
Essential Skills
- Strong attention to detail and organizational skills.
- Excellent communication skills (phone and email).
- Comfortable working across multiple systems and tools.
- Basic proficiency in Microsoft Outlook, Excel, and Word.
- Experience with ERP systems (Chempax or similar) preferred.
- Self-starter with a dependable and reliable work style.
Additional Skills & Qualifications
- Prior experience in order entry, customer service, or inside sales support.
- Exposure to pricing coordination or cost analysis.
Work Environment
The work environment is within a smaller manufacturing company, which values a close-knit team dynamic over a corporate structure. The role involves managing approximately 100150 orders per month, averaging about 6 orders per day. The workload is fast-paced yet manageable, combining customer interaction and administrative work. The schedule is Monday through Friday, 7:30 AM to 4:00 PM, with some flexibility available. This environment is ideal for someone who is flexible, willing to pitch in wherever needed, and comfortable wearing multiple hats.

This is a Contract to Hire position based out of Franklin, TN.
Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
