Job Title: Senior Operations Coordinator Job Description The Senior Operations Coordinator plays a central role in ensuring smooth day-to-day office operations, mailroom management, and administrative support across multiple locations. This position manages work order requests, supports new hires and office moves, oversees printing and scanning projects, and coordinates building safety and evacuation planning. The role requires a highly organized, detail-oriented professional who can multitask effectively, communicate clearly, and work both independently and collaboratively under time-sensitive deadlines. - Efficiently execute all tasks assigned to the Operations Coordinator role while maintaining high standards of accuracy and professionalism.
- Manage, assign, and process work order requests received from business units across the company, ensuring timely completion and clear communication.
- Oversee the daily mail process, providing assistance when needed, and continually look for ways to reduce incoming mail volume.
- Keep the mailroom organized and well stocked by maintaining appropriate levels of supplies and ensuring the postage meter has adequate funds and is functioning properly; order supplies as needed.
- Process office supply orders online as needed, ensuring that employees have the materials required to perform their work.
- Monitor and distribute all messages received in the Cleveland general voicemail, routing communications promptly to the appropriate employee-owners throughout the day.
- Prepare workspaces for new hires, terminations, and internal desk moves, ensuring desk locations are fully prepped and cleaned, new signage is created, and personal items left behind are returned to employee-owners as instructed.
- Maintain and manage the Welcome booklet for all locations, keeping details current and relevant, posting updates to internal systems, and reaching out to branch contacts as needed.
- Maintain accurate office floor maps for all locations, including posting updates to internal systems on a weekly basis.
- Work with Loss Control staff in Risk Consulting to coordinate building safety and evacuation planning for all employee-owners, including scheduling meetings with captains and floor wardens and training staff to ensure safety compliance.
- Maintain up-to-date documentation related to safety and evacuation procedures on internal platforms and in employee Welcome Booklets.
- Process business card requests for new employees, promotions, or departmental changes as communicated by Human Resources.
- Coordinate all elements of scanning projects, including recording and archiving important documents into electronic files and ensuring related hard copies are destroyed according to company policy.
- Perform high-volume printing, photocopying, binding, collating, and laminating for presentations, proposals, and other miscellaneous documents as assigned.
- Support branch locations with mailroom, supply, printing, scanning, and related operational services as needed.
- Assist the Facilities Manager with the physical relocation of operations to new locations and perform ad hoc project duties identified by the supervisor.
- Exercise the highest degree of discretion in handling and disseminating confidential and highly sensitive business and personal information, following all relevant policies and procedures.
- Provide excellent customer service to internal stakeholders, responding promptly and professionally to requests and inquiries.
- Accurately perform data entry and maintain organized records related to operations, supplies, and facilities.
- Schedule appointments and coordinate logistics for meetings and activities related to operations and facilities.
Essential Skills
- Associate degree in Business from a two-year college or technical school, or an equivalent combination of education and experience.
- One to three years of related experience in operations, office administration, facilities coordination, or a similar role.
- Strong multi-tasking skills with the ability to prioritize effectively and manage time-sensitive deadlines.
- Good written, verbal, and interpersonal communication skills, with the ability to interact professionally with individuals at all levels of the organization.
- High level of organization with close attention to detail and accuracy in all tasks.
- Ability to work well independently with minimal supervision while also functioning effectively as a team player.
- Highly cooperative and patient demeanor, especially when working under stress or managing competing priorities.
- Proficiency in customer service, demonstrating responsiveness and a solutions-oriented approach.
- Competence in data entry with a focus on accuracy and completeness.
- Ability to schedule and coordinate appointments and operational activities efficiently.
- Demonstrated discretion and integrity in handling confidential and highly sensitive business and personal information.
Additional Skills & Qualifications
- Experience managing mailroom operations, including postage meter oversight, mail volume reduction initiatives, and supply management.
- Experience processing office supply orders and maintaining inventory for a multi-location organization.
- Familiarity with coordinating workspace preparation for new hires, terminations, and internal desk moves, including signage and personal item handling.
- Experience maintaining welcome booklets, office floor maps, and other location-specific documentation and posting updates to internal systems.
- Background in coordinating building safety and evacuation planning, including working with safety teams, captains, and floor wardens.
- Experience processing business card requests and collaborating with Human Resources on employee-related updates.
- Hands-on experience with scanning, archiving, and secure document destruction according to company policy.
- Ability to perform high-volume printing, photocopying, binding, collating, and laminating for professional documents such as presentations and proposals.
- Experience supporting branch locations with operational services and remote coordination.
- Prior experience assisting facilities or operations management with office relocations and related projects.
- Comfort working in a fast-paced environment with changing priorities and multiple concurrent tasks.
Work Environment This role operates in a professional office environment that includes mailroom facilities, shared workspaces, and branch locations. This is a Contract to Hire position based out of Cleveland, OH.
Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
